Job Title: Loan Operations Specialist

Position Summary
Spindrift Investments, LLC is seeking a highly organized, detail-oriented, and motivated Private Lending Operations Specialist to oversee the day-to-day administrative and operational functions of our private lending business. This individual will serve as the operational hub of the lending department, managing loan files from application through payoff while coordinating with borrowers, attorneys, title companies, insurance agents, and other third parties.
The ideal candidate thrives in a fast-paced environment, enjoys creating organized systems, and takes pride in ensuring every loan is accurate, complete, and properly documented. This role requires exceptional attention to detail, strong communication skills, and the ability to manage multiple loan transactions simultaneously. Spanish language skills are strongly preferred but not required.
Key Responsibilities
Loan Processing & Documentation
- Prepare, review, and process loan documentation throughout the lending process.
- Maintain complete and accurate loan files, ensuring all required documentation is received and organized.
- Review loan documentation for accuracy and completeness prior to closing.
- Perform data entry and verify the accuracy of loan information within internal systems.
- Maintain electronic and physical loan records throughout the life of each loan.
Closing Coordination
- Work closely with closing attorney paralegals to review loan documents before closing.
- Track outstanding closing conditions and ensure all required items are satisfied prior to funding.
- Coordinate funding requests and assist in ensuring loans close on schedule.
Post-Closing Administration
- Review executed closing documents for completeness and accuracy.
- Track and obtain missing signatures, recorded documents, title policies, insurance certificates, and any outstanding post-closing requirements.
- Ensure mortgages and other collateral documents have been properly recorded.
- Maintain complete post-closing loan files and imaging.
Loan Servicing & Portfolio Administration
- Apply and reconcile incoming loan payments accurately.
- Track loan maturities, extension deadlines, and payoff requests.
- Calculate payoff statements, extension fees, default interest, and other loan servicing figures as requested.
- Maintain accurate servicing records throughout the life of each loan.
Communication & Customer Service
- Communicate professionally regarding loan documentation, closing requirements, payment information, and outstanding items.
- Greet and assist borrowers visiting the office while providing exceptional customer service.
- Direct borrowers to appropriate team members when specialized assistance is required.
Administrative & Operations Support
- Maintain loan tracking reports and internal workflow systems.
- Identify process improvements that increase efficiency and accuracy.
- Monitor outstanding documentation and proactively follow up to ensure timely completion.
- Assist with general administrative support for the lending department.
- Perform additional operational and administrative duties as assigned.
Qualifications
- High school diploma or equivalent required; Associate's or Bachelor's degree preferred.
- Previous experience in lending, mortgage banking, real estate, legal administration, title, escrow, financial services, or office administration preferred.
- Strong organizational skills with exceptional attention to detail.
- Ability to prioritize multiple projects and meet deadlines in a fast-paced environment.
- Excellent written and verbal communication skills.
- Proficiency with Microsoft Office, including Outlook, Word, Excel, and Adobe Acrobat.
- Ability to learn loan servicing and document management software.
- Spanish language proficiency is strongly preferred but not required.

Compensation
- Compensation based on experience.
Work Environment
- Full-time, in-person position based in our Cranston, Rhode Island office.
- Office environment with frequent computer use.
- Occasional overtime may be required during periods of high loan volume or month-end activity.
