Position Summary

The SharePoint Site Coordinator serves as Spike Electric’s primary point of contact and day-to-day administrator for assigned SharePoint site(s). The role maintains pages, navigation, document libraries, lists, site content, and approved user access; completes routine edits and configuration changes; supports users; and helps keep information accurate, organized, secure, and easy to find.

This is a developmental role intended for a strong internal candidate. Prior SharePoint administration experience is not required. The employee will receive structured training and will be expected to build proficiency while working within approved standards, change controls, and escalation paths.

Essential Duties and Responsibilities

  • Maintain and edit SharePoint pages, web parts, links, navigation, news, and other site content using approved layouts and standards.
  • Create and maintain document libraries, folders, metadata, views, lists, and basic forms based on approved business requirements.
  • Serve as the first point of contact for SharePoint questions, routine requests, access issues, and site-change requests.
  • Manage site-level membership and permissions within the approved access model; document approvals and periodically review access with business owners.
  • Publish, update, archive, or remove content after confirming ownership and approval; keep naming, metadata, versioning, and retention practices consistent.
  • Test routine changes before release, check links and page behavior, and maintain a simple change log for material edits.
  • Troubleshoot common user and site issues; resolve routine problems and escalate outages, security concerns, data loss, or technical defects promptly.
  • Create short user guides, provide basic training, and coach employees on document storage, collaboration, search, and site-use practices.
  • Gather improvement requests, clarify the business need, recommend practical site-level solutions, and coordinate approvals before implementation.
  • Monitor site quality, stale content, broken links, duplicate information, storage concerns, and permission exceptions; report risks and needed decisions.
  • Maintain role documentation, site maps, owner lists, request records, recurring review schedules, and continuity instructions.
  • Complete other related duties and learning assignments as business needs evolve.

Scope and Escalation Boundaries

The role may make routine, reversible site-level changes within documented standards. The following items require review or action by IT, the Microsoft 365 administrator, Information Security, Legal/HR, Records Management, or the applicable business owner:

  • Tenant-wide SharePoint settings, creation or deletion of production sites, hub architecture, domain settings, licensing, or global administrator roles.
  • External sharing, guest access, anonymous links, sensitivity labels, retention policies, legal holds, records disposition, or confidential-data policy changes.
  • Custom code, SPFx development, APIs, scripts, complex Power Automate flows, production integrations, migrations, or bulk destructive changes.
  • Security incidents, suspected unauthorized access, data loss, broad permission changes, or service outages.
  • Changes that affect business-critical workflows, regulated records, financial controls, HR records, or safety/compliance processes.

Required Qualifications

  • High school diploma or equivale
  • Current Spike Electric employee in good standing, or equivalent entry-level candidate with demonstrated reliability and learning agility.
  • Working familiarity with Microsoft 365 applications such as Outlook, Teams, Word, Excel, and OneDrive.
  • Strong attention to detail, organization, follow-through, customer service, and written communication.
  • Ability to learn technical concepts, follow documented controls, handle access and company information responsibly, and ask for help when risk is unclear.
  • Ability to work with employees across departments and translate routine business requests into clear site updates.

Preferred Qualifications

  • Experience as a SharePoint user, site member, content owner, document-control user, coordinator, or departmental subject-matter expert.
  • Experience maintaining organized records, procedures, websites, intranet pages, shared drives, or controlled documents.
  • Associate degree, relevant coursework, or a Microsoft 365/SharePoint fundamentals credential.
  • Basic exposure to Microsoft Lists, Forms, Power Automate, Power BI, or structured metadata.

Knowledge, Skills, and Abilities

  • Learns new software quickly and follows repeatable processes.
  • Uses sound judgment with permissions, confidential information, and change impact.
  • Writes clear instructions and communicates comfortably with both technical and nontechnical users.
  • Balances user service with governance; does not bypass approvals to complete a request.
  • Prioritizes requests, documents work, tests changes, and meets agreed deadlines.
  • Identifies when an issue is outside assigned authority and escalates promptly.

Work Environment and Physical Requirements

Work is primarily performed in an office or similar professional environment using a computer. The employee must be able to communicate with users, review detailed on-screen information, and perform sustained keyboard and mouse work. FLSA Classification

Recommended classification: hourly, non-exempt. The role is designed around routine site configuration, content maintenance, user support, and controlled execution rather than systems analysis, software engineering, programming, or independent authority over matters of significance. HR should confirm classification against the employee’s actual primary duties; job title and salary alone do not determine exemption status.
