The Inventory Assistant supports our supply chain operations by maintaining accurate inventory records, assisting with inbound and outbound shipments, and ensuring product availability for labeling and distribution. This role works closely with the Inventory Manager to uphold food safety standards, streamline inventory processes, and ensure compliance across all operational areas.
Responsibilities:
- Oversee accurate tracking of all inventory in SAP, including spices, raw ingredients, finished products, packaging materials, and non-spice related items.
- Ensure timely and accurate SAP data entry for all inventory transactions including goods receipts, transfers, adjustments, cycle counts, and damaged or expired products.
- Review inventory reports and order patterns to identify trends, optimize stock levels, and minimize risk of stockouts or overstock.
- Conduct regular cycle counts and partial audits; reconcile discrepancies and document corrective actions.
- Prepare and submit inventory reports to management including variance analysis and recommendations.
- Monitor and track department KPIs to support decision-making and continuous improvement.
- Maintain consistent stock levels of spices, packaging materials, and labeling supplies; reorder within authorized limits as needed.
- Establish and maintain backup sources for high-demand or specialty spice items.
- Build and maintain strong relationships with domestic and international vendors.
- Accurately record daily receipts of goods and outgoing shipments.
- Manage and maintain inventory tracking systems; assist with upgrades or transitions as needed.
- Coordinate with the warehouse team to ensure inventory procedures are followed accurately.
- Provide guidance and support to inventory and warehouse team members on SAP transactions and best practices.
- Adhere to all company food safety policies, procedures, and standard operating guidelines.
- Monitor work and storage areas to ensure cleanliness, proper handling, and secure storage of all food-related materials.
- Report any food safety concerns, hazards, or non-conformances immediately to the appropriate team.
- Complete all required food safety training and certifications assigned.
- Support corrective actions and continuous improvement initiatives related to food safety.
- Perform other related duties as assigned.
Requirements
- High school diploma or equivalent; associate degree preferred
- 1–2 years of experience in inventory, logistics, or warehouse operations
- Familiarity with import/export documentation and procedures is a plus
- Proficiency in Microsoft Excel and SAP
- Strong attention to detail and problem-solving skills
- Highly organized and capable of working independently
- Strong communication skills with warehouse staff, purchasing team, and external vendors
- Ability to lift and move boxes up to 50 lbs as needed
