Spencer Hospital is seeking a friendly and driven Administrative Assistant who enjoys supporting others and working collaboratively in a hospital setting. This role is ideal for someone who takes pride in helping teams succeed by managing schedules, answering and directing calls, and staying organized in a fast‑paced environment. The right candidate communicates with warmth and professionalism, remains calm under challenging assignments, values confidentiality, and sees their work as an important part of caring for patients and a contributor to the overall success of the hospital.
Responsibilities:
- Performs a wide range of administrative functions with professionalism, discretion, and minimal supervision while collaborating across departments to advance the hospital’s mission and goals.
- Provides comprehensive administrative and clerical support to Hospital Administration, Medical Staff, and Board of Trustees.
- Prepares and distributes correspondence and communications for Medical Staff and Board members, including meeting reminders via phone, email, or other channels.
- Attends Board of Trustee meetings and committee meetings as required; prepares and distributes meeting agenda materials; records and prepares minutes for signature.
- Ensures conference rooms are professionally prepared and ready on time, including room setup, food and beverage coordination, and testing of video‑conferencing technology to support seamless meetings.
- Maintains executive calendars, schedules appointments, and proactively coordinates meeting arrangements to support efficient operations.
- Collects, compiles, and prepares data, reports, statistics, and summaries to support leadership review and strategic planning.
- Generally knowledgeable of all department functions and carries out specific duties with minimal supervision.
- Performs a variety of functions such as filing, typing, answering telephone, data entry, customer service, copying/faxing, mail sorting/delivery, individual projects, and other general tasks.
- Works collaboratively with other departments to accomplish hospital goals, tasks, and projects.
Requirements:
- Previous healthcare/hospital administration assistant experience preferred
- AA degree at minimum or equivalent work experience required
- Comfortable with technology systems and programs: Microsoft 365, Co-Pilot, Microsoft Teams, OneNote, Webex and other video conferencing systems
- Must uphold high ethical standards and confidentiality
- Ability to manage multiple tasks, prioritize and organize workload independently
- Ability to perform job requirements without close supervision
- Flexibility in work schedule/hours based on the needs of the Administration team
Schedule:
- 60 hours a pay period (Full-time benefit eligible)
- Typical hours are M-F; 8a-4:30p
- Requires flexibility to begin work as early as 6:00 a.m. for meeting preparation and to occasionally stay beyond 4:30 p.m. to support organizational needs
- The schedule may fluctuate based upon the needs of the department
