SUMMARY:
The Administrative Coordinator is a member of SMI Properties, a subsidiary of Speedway Motorsports, LLC. This role supports the Merchandising and Assets & Transportation departments of SMI Properties, which provides souvenir operations, and golf cart rentals to large event venues across the US. This position is a full-time, hourly position which reports to the Administrative Manager.

JOB DUTIES:
- Provide exceptional customer service to customers with the upmost professionalism
- screen incoming calls and email correspondence and respond independently when possible
- onboard new customer accounts
- process orders
- monitor customer requests and communicate with event leads
- Review and maintain customer and vendor files, including but not limited to, certificates of liability insurance, billing information, etc.
- Accurately input and manage data in various systems and databases
- Maintain a database of products and approvals for licensed merchandise
- Create and process purchase orders for supplies, parts, transportation, etc. as needed for Events department
- Communicate with vendors as needed
- Assist with post-event reconciliation reporting for events
- Assist with inventory cycle counts
- Other duties as assigned
QUALIFICATIONS:
This role requires strong organizational skills, excellent communication abilities, and the ability to work well in a fast-paced environment. The ideal candidate will play a crucial role in supporting accuracy and efficiency of our daily office operations.
- Proven experience in an administrative assistant or similar role for 2 years.
- Familiarity with rental business, event-based business and/or racing industry a plus.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
- Strong organizational and multitasking skills.
- Excellent written and verbal communication skills.
- Detail-oriented with a high degree of accuracy.
- Proactive and able to work independently or as part of a team with minimal supervision.
- Willingness to continually learn and adapt to new challenges.
- Able to interact professionally with employees at every level of the organization.
