SUMMARY:

The Administrative Coordinator is a member of SMI Properties, a subsidiary of Speedway Motorsports, LLC. This role supports the Merchandising and Assets & Transportation departments of SMI Properties, which provides souvenir operations, and golf cart rentals to large event venues across the US. This position is a full-time, hourly position which reports to the Administrative Manager.

JOB DUTIES:

  • Provide exceptional customer service to customers with the upmost professionalism
    • screen incoming calls and email correspondence and respond independently when possible
    • onboard new customer accounts
    • process orders
    • monitor customer requests and communicate with event leads 
  • Review and maintain customer and vendor files, including but not limited to, certificates of liability insurance, billing information, etc.
  • Accurately input and manage data in various systems and databases
  • Maintain a database of products and approvals for licensed merchandise
  • Create and process purchase orders for supplies, parts, transportation, etc. as needed for Events department
  • Communicate with vendors as needed
  • Assist with post-event reconciliation reporting for events
  • Assist with inventory cycle counts
  • Other duties as assigned


QUALIFICATIONS: 

This role requires strong organizational skills, excellent communication abilities, and the ability to work well in a fast-paced environment. The ideal candidate will play a crucial role in supporting accuracy and efficiency of our daily office operations.

  • Proven experience in an administrative assistant or similar role for 2 years. 
  • Familiarity with rental business, event-based business and/or racing industry a plus.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook). 
  • Strong organizational and multitasking skills. 
  • Excellent written and verbal communication skills. 
  • Detail-oriented with a high degree of accuracy. 
  • Proactive and able to work independently or as part of a team with minimal supervision.
  • Willingness to continually learn and adapt to new challenges.
  • Able to interact professionally with employees at every level of the organization.
