Position Summary:
The Account Coordinator supports the Account Management team by handling day‑to‑day administrative tasks, basic client communication, and project tracking. This role helps keep jobs organized and moving smoothly through design, production, and install, ensuring Account Managers can focus on higher‑level client strategy, scoping, and complex problem‑solving.
Key Responsibilities
Client and project support
- Assist Account Managers with intake of new jobs, including gathering specs, reference files, and client details.
- Draft and send routine client communications (order confirmations, proof links, status updates, scheduling confirmations) as directed by the Account Manager.
- Help prepare quotes and work orders by entering details into templates or the CRM system, ensuring information is complete and accurate.
- Track project milestones and deadlines, alerting Account Managers and internal teams to upcoming due dates or bottlenecks.
- Answer basic client questions (status checks, file receipt, general timelines) and route more complex questions to the appropriate Account Manager.
Administrative and systems work
- Create and update job tickets in the CRM, including notes, file locations, proof status, approvals, and installation details.
- Ensure all required documentation (POs, artwork, approvals, photos, site notes) is stored correctly and consistently.
- Assist with scheduling by placing jobs onto production and install calendars based on direction from Account Managers and department leads.
- Support invoicing and payments by confirming billable items, checking that deposits are collected, and flagging discrepancies to Admin/Account Managers.
Design, prepress, and production coordination (light)
- Confirm that client files have been received and correctly named/organized before they go to design/prepress.
- Use checklists to verify that required elements (art files, fonts, logos, brand guidelines, measurements) are present before the job moves forward.
- Coordinate with the Designer/Prepress Specialist and Production team to relay clarifications or minor changes requested by Account Managers or clients.
- Request and collect install photos or completion confirmations and attach them to the job record.
Quality and process support
- Follow established SOPs and checklists for job setup, proof tracking, approvals, and handoffs.
- Help identify recurring administrative or communication issues and suggest improvements to templates, checklists, or workflows.
- Support Account Managers in preparing materials for key client meetings, site visits, or project recaps (printouts, decks, samples, job summaries).
Required qualifications
- Minimum 1 year Experience in an administrative, customer service, or project coordination role (print, signage, marketing, or creative environments preferred).
- Proficient with Adobe Creative Suite or other design tools (enough to handle files and proofs, even if not designing).
- Strong organizational and time‑management skills; comfortable juggling multiple tasks and deadlines.
- Excellent attention to detail when entering data, managing files, and reviewing job information.
- Clear written and verbal communication skills, with a professional, client‑friendly tone.
Preferred qualifications
- Familiarity with printing, signage, or marketing/creative production workflows.
- Experience working with a CRM tool
- Comfort using office and collaboration tools (email, spreadsheets, shared drives, calendars); willingness to learn MIS/CRM systems.
