Overview
We are seeking a dynamic and highly organized Administrative Assistant to join our team! This role provides essential clerical, organizational, and data management support to the designated Waste department manager and the broader site management team. This role helps ensure smooth daily operations by maintaining accurate records, preparing reports and correspondence, supporting internal teams, and delivering timely administrative assistance. The position requires strong attention to detail, reliability, professionalism, and the ability to manage multiple priorities in a fast paced environment.
Key Responsibilities
- Prepare, format, print, and distribute documents, reports, presentations, and correspondence for the designated Waste department manager and site leadership.
- Maintain accurate data and review records for completeness, accuracy, and proper formatting before submission.
- Assist with day to day NetSuite data entry, order processing, file management, purchase orders, invoice tracking, and vendor and customer record maintenance.
- Provide administrative support to the designated Waste department manager, site manager, and other members of the management team as needed.
- Provide prompt, professional, and courteous service to internal and external customers, vendors, and business partners.
- Respond to inquiries, direct calls to appropriate team members, and take accurate messages when necessary.
- Support ongoing administrative tasks, special projects, and other duties assigned by the designated Waste department manager or site manager.
Required Skills and Qualifications
- Associate degree in Business Administration or a related field preferred, or a minimum of two years of office administrative experience.
- Strong proficiency in Microsoft Office, including Word, Excel, and Outlook, with comfort using data systems.
- Strong organizational skills with the ability to prioritize work and manage multiple tasks effectively.
- High attention to detail and a strong commitment to data accuracy, confidentiality, and follow through.
- Professional written and verbal communication skills, with the ability to interact effectively with internal and external stakeholders.
Preferred Qualifications
- Experience with ERP systems such as NetSuite, SAP, Oracle, QuickBooks, or similar platforms.
- Intermediate to advanced proficiency in Microsoft Excel and Outlook.
- Positive, team oriented, and customer focused approach.
