The Role
As Business Manager, you are responsible for the consistent execution of the studio’s day-to-day business operations. You oversee internal systems, operational details, financial coordination, facilities, and team administration to ensure the business runs efficiently, reliably, and at a high standard.
You are a key and trusted member of the operational and executive team, working closely with leadership and external partners. You operate with self-direction and enthusiasm, while staying aligned with leadership priorities and business direction. Key Responsibilities
Day-to-Day Business Execution
- Run the daily business operations of the studio with energy, consistency, and care
- Keep priorities moving forward efficiently with strong follow-through
- Maintain and refine workflows, systems, and processes that support clarity and speed
- Anticipate needs and resolve issues proactively
- Track business-level initiatives to ensure execution continues beyond meetings
- Oversee routine administrative operations, including project mailings, check processing, deposits, and record-keeping
Financial & Operational Coordination
- Serve as the internal owner of financial coordination and operational accuracy
- Partner with external bookkeeping, accounting, and payroll providers
- Prepare, review, and submit payroll accurately and on schedule
- Own employee benefits administration, including enrollments, changes, renewals, and coordination with third-party providers
- Maintain visibility into expenses, budgets, invoices, and cash flow
- Track approvals and ensure financial documentation is accurate and current
- Support leadership with organized financial summaries and insights
Human Resources & Team Experience
- Oversee the administrative and operational aspects of the employee lifecycle
- Coordinate closely with a third-party HR firm to ensure compliance
- Manage onboarding, role setup, and systems access for new hires
- Maintain employee records, documentation, and compliance materials
- Support performance review cycles and internal communication
- Serve as a warm, reliable, and professional point of contact for the team
- Coordinate offboarding processes with clarity and care
Facilities, Office & IT Coordination
- Own day-to-day office and facilities operations
- Coordinate vendors for office maintenance, cleaning, utilities, internet, and security
- Ensure the studio environment is polished, functional, and reflective of brand standards
- Act as liaison with IT support providers for hardware, software, and system needs
- Manage system access, equipment setup, and transitions during onboarding and offboarding
- Ensure business tools and systems are functioning smoothly so the team can work efficiently
Client Intake, Contracts & Documentation
- Manage the front-end client intake and inquiry process
- Organize prospect information, next steps, and internal follow-up
- Prepare contracts and onboarding documentation for signature
- Track contract execution, amendments, and renewals
- Maintain organized records of agreements, insurance, and compliance documentation
- Support a seamless transition from inquiry to active engagement
Strategic Initiatives & Operational Improvement
- Lead time-bound projects that improve efficiency, flow, and organization
- Conduct research, coordination, and planning in support of business initiatives
- Identify opportunities to streamline systems and reduce friction
- Balance speed with accuracy, keeping momentum high without sacrificing quality
- Support evolving operational needs as the business grows
