Position Overview
We are seeking a highly motivated, detail-oriented Marketing & Broker Support Specialist to play a central role in both the firm’s marketing platform and brokerage operations. This individual will act as the firm’s dedicated marketing resource while also supporting brokers in transaction execution, research, and client service.
This is a high-impact role for a self-starter who thrives in a fast-paced, entrepreneurial environment and takes ownership of both creative and analytical responsibilities.
Key Responsibilities
Marketing & Brand Management
- Lead the development and execution of marketing campaigns across 60 active property listings
- Create high-quality marketing collateral including property flyers, offering memorandums, proposals, tour books, and presentations
- Design and distribute email marketing campaigns
- Manage and grow the firm’s social media presence (LinkedIn, Facebook, etc.), including content creation, posting, and performance tracking
- Maintain and enhance the company website (Squarespace), ensuring all content is current and aligned with firm branding
- Manage and update listings across all major platforms (CoStar, LoopNet, Crexi, etc.)
- Oversee CRM (Salesforce/Apto) data integrity and leverage it for targeted marketing campaigns
- Collaborate with brokers to develop customized marketing materials and market data reports
- Continuously identify opportunities to improve marketing processes, efficiency, and overall brand presence
Broker Support & Transaction Coordination
- Draft Letters of Intent (LOIs), contracts, and transaction-related documents using ZipForms
- Support deal flow from initial marketing through closing, including document management and tracking milestones
- Prepare client presentations, proposals, and pitch materials
- Conduct property research, market analysis, and comparable data collection
- Pull and refine targeted prospect lists for leasing and investment outreach
- Track listing activity, lease expirations, and annual escalations for client reporting
- Close out completed listings and maintain accurate records across all platforms
Administrative & Client Support
- Assist with inbound client communication and general inquiries
- Support brokers with ad hoc administrative needs and special projects
- Maintain organized digital and physical deal files
- Ensure consistency, accuracy, and professionalism across all client-facing materials
Qualifications
- 2 years of experience in marketing, commercial real estate, or a related field preferred
- Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word, Outlook)
- Experience with Adobe Creative Suite (InDesign) strongly preferred
- Strong written and verbal communication skills
- Exceptional organizational skills and attention to detail
- Ability to manage multiple projects simultaneously and meet deadlines

Salary : $6,000 - $70,000
