Job Title:                      Secretary, Director of Special Programs

Reports to:                   Director of Special Programs

Wage/Hour Status:      Nonexempt

Pay Grade:                    CT5 – 226 days

Primary Purpose:

To contribute to the efficient operation of the Special Programs Department so that the Department will have a maximum positive impact on the education of students. 

 

Qualifications:

Education/Certification:

  • High School Diploma or GED

 

Special Knowledge/Skills:

  • Highly proficient keyboarding skills, ability to use personal computer and software to develop spreadsheets, databases and word processing
  • Effective organization skills;
  • Excellent communication and interpersonal skills; and
  • Basic math skills

 

Experience:

  • Three years secretarial experience, preferably in a public education environment

 

Major Responsibilities and Duties:

General

  1. Demonstrates thoroughness, reliability and a high degree of accuracy in performing work assignments.
  2. Works cooperatively with others and maintains a positive attitude in the work environment.
  3. Demonstrates initiative and good judgment in problem solving and decision-making.
  4. Reports promptly and maintains good attendance.
  5. Uses time productively on the job.
  6. Follows district policies, rules and regulations.
  7. Accepts supervisory direction.
  8. Strives to improve job skills.
  9. Demonstrates tact, courtesy and helpfulness in dealing with staff, students, parents, and visitors in the district.

 

Office Skills:
10. Performs various office duties as assigned by the Director which may include, but
      not limited to typing confidential memoranda, observation reports, and annual
      performance reviews.
11. Maintains Department schedule rescheduling whenever necessary and keeps
      concerned parties informed of any changes in schedule.

  1. Carries out office routines and practices such as sorting mail, operating the copy
    machine, serving as telephone receptionist and others.
    13. Prepares, processes and maintains oversight of purchase orders.
    14. Provides well-organized, accurate work.
    15. Demonstrates ability to prioritize tasks and to change priorities, as appropriate, to
          meet the needs of the job.
    16. Contribute to the overall efficiency of the Department by providing management
          of supplies, information, documentation and files as assigned by Director.
    17. Maintains inventory of the Department.
    18. Utilizes computer skills and performs data entry while maintaining data integrity
          and confidentiality for the department.
    19. Provide support and orientation for new staff members to workings of the
         department.
    20. Provide support with the smooth flow of trainings and meetings with in the
         department.

 

General:

  1. Keep Director current on emerging issues and concerns within job
    responsibilities.
    22. Always use professional demeanor when communicating with professionals,
     parents, and community.

          campus staff and/or district employees in the specific work site assigned (office
          setting).
    31. Demonstrates tact, courtesy and helpfulness in dealing with staff, students,
          parents, and visitors in the district.
    32. Support mission of school district.
    33. Maintain a professional relationship with supervisors, colleagues, students,
          parents, and community members.
    34. Use effective communication skills to present information accurately and clearly.
    35. Participate in staff development activities to improve job-related skills including
          assigned areas aligned to student needs, disabilities, IDEA, state special
          education and district guidelines.
    36. Keep informed of and comply with federal, state, district, and school regulations
          and policies for special education teachers.
    37. Compile, maintain, and file all physical and computerized reports, records, and
          other documents required.
    38. Maintain confidentiality.
    39. Performs other duties as assigned.

Personal computer, typewriter, printer, copier, fax machine and calculator.  Use of computer to include programs such as Excel and Word.

Ability to lift and/or carry moderate weight (15-44 pounds), sit, walk short distances, climb step ladder, stoop, kneel, pull, push, reach, perform repetitive hand motions, hear, speak, maintain visual acuity, occasional travel in district, work with noises and frequent interruptions, prolonged or irregular hours or unusual fatigue factors during peak periods.
