SUMMARY
The Special Events Manager is a critical, revenue-driving role responsible for the
successful execution and strategic expansion of our high-end, signature fundraising
events across Texas. This role requires an experienced and dynamic event coordinator to
manage all aspects of existing high-value campaigns while researching, developing, and
launching new, innovative events that attract major donors and corporate partners. The
ideal candidate will have a proven track record in orchestrating sophisticated, polished
events and possess a passion for the mission of Special Olympics Texas.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Lead and manage all logistics for assigned high-end fundraising events (e.g., galas, formal dinners, major tournaments, high-value experiential events) from inception through execution and post-event analysis.
- Identify, research, and develop proposals for new, large-scale, and innovative fundraising events designed to significantly increase annual revenue and engagement with high-net-worth individuals and corporate partners.
- Identify, solicit, and manage corporate sponsorships for events and initiatives, including developing proposals and maintaining relationships with current and prospective partners.
- Collaborate closely with the Director of Partnership Campaigns and the Strategic Partnership Team to align events with broader corporate sponsorship and major gift strategies.
- Manage event budgets, timelines, vendor relationships, and contract negotiations to ensure cost-effective and successful execution.
- Oversee all event production elements, including venue selection, catering, A/V, décor, entertainment, and on-site management.
- Develop compelling event materials, including sponsorship proposals, invitations, programs, and volunteer training guides.
- Work with the Strategic Partnerships and Communications teams to develop targeted marketing and communication plans to drive attendance and sponsorship.
- Cultivate and maintain strong relationships with event committees, high-value volunteers, donors, and sponsors to ensure their participation and satisfaction.
- Ensure all events meet established fundraising goals and provide an exceptional experience that reflects the SOTX brand and mission.
- Conduct thorough post-event analysis, reporting on key metrics, revenue generated, ROI, and recommendations for future improvements.
- Ensure meticulous tracking of all event data, donor information, and financial records within the organization's CRM system.
- Utilize Google Workspace for communication and collaboration, and Monday.com for project management and tracking.
QUALIFICATIONS/REQUIRED SKILLS:
Passion for Special Olympics Texas
Screening: Must pass Criminal and National Sex Offender Registry background screening (Required for all staff)
Education: Bachelor’s degree in nonprofit management, marketing, communications, or a related field (or equivalent experience).
Experience: 2 years of experience in fundraising, event planning, or partnership development, preferably in a nonprofit setting.
Knowledge: Understanding of nonprofit fundraising principles and donor stewardship; Familiarity with corporate social responsibility (CSR) and cause marketing trends. Experience with CRM platforms such as Salesforce or Classy is a plus.
Skills: Strong organizational and project management skills. Excellent written and verbal communication. Creative thinker with a knack for campaign branding. Ability to manage multiple projects and deadlines with attention to detail.
Work Schedule: Full time 40 hours per week; This position’s work schedule will be determined by the demands of the position and may include evenings and weekends. Flexible time is available with prior approval of supervisor.
Physical Demands: While performing the duties of the job, the employee is regularly required to sit or stand for extended periods of time; occasionally required to lift and/or move up to 20lbs, stoop, kneel, crouch or crawl; frequently required to stand, reach with hands and arms through full range of motion.
Transportation: Must have own reliable transportation with good driving history, valid Texas driver’s license and current insurance.
