JOB TITLE: Development Associate

DEPARTMENT: Development

REPORTS TO: VP, Development & Marketing

SALARY RANGE: $55,000-$60,000

ABOUT US: Special Olympics Oregon (SOOR) provides year-round sports training and athletic competition in a variety of Olympic-type sports for children, youth, and adults living with intellectual disabilities, giving them continuing opportunities to develop physical fitness, demonstrate courage, experience joy, and participate in a sharing of gifts, skills and friendship with their families, other Special Olympics athletes, and the community.


JOB DESCRIPTION:

Special Olympics Oregon is seeking a highly organized and detail-oriented Development Associate to support grant management, donor systems, and administrative operations within the Development team. This role plays a critical part in securing and stewarding institutional funding while ensuring smooth day-to-day operations of the department. The ideal candidate is a strong writer, excels at managing deadlines, and enjoys working behind the scenes to support fundraising success.


ESSENTIAL DUTIES AND RESPONSIBILITIES:

Grant Management (50%)

·        Coordinate the full lifecycle of grants including research, tracking, proposal development, submission, and reporting

·        Draft and edit grant proposals, reports, and supporting materials

·        Maintain a grants calendar to ensure timely submissions and compliance

·        Track grant requirements, deliverables, and reporting deadlines

·        Collaborate with program and finance teams to gather data, outcomes, and budgets

·        Maintain accurate grant records and documentation

Salesforce Support (20%)

·        Maintain and update donor and grant records in Salesforce

·        Track grant activity, reporting deadlines, and institutional donor engagement

·        Assist with data hygiene, reporting, and dashboard updates

·        Support Development team with data entry and list management

Administrative & Board Support (20%)

·        Provide general administrative support to the Development team

·        Assist with scheduling, meeting coordination, and document preparation

·        Assist with preparation of Development-related board materials and reports

·        Help track board engagement related to fundraising efforts

·        Monitor and respond to shared inboxes

In-Kind Solicitations (10%)

·        Support outreach and coordination of in-kind donations

·        Track and acknowledge in-kind gifts

·        Assist with fulfillment of sponsorship or event-related in-kind needs

SKILLS, ABILITIES & KNOWLEDGE:

·        1–3 years of experience in nonprofit development, grants, or administrative support

·        Proven success with grant writing and approvals

·        Strong writing and editing skills, especially for grant proposals and reports

·        Exceptional organizational skills and attention to detail

·        Ability to manage multiple deadlines and priorities

·        Experience with CRM systems (Salesforce preferred)

·        Proficiency in Microsoft Office (Word, Excel, Outlook)

·        Ability to work collaboratively across teams


WORKING CONDITIONS & PHYSICAL DEMANDS:

  • Fast paced, with significant people interaction
  • Occasional travel throughout the state of Oregon
  • May be required to work evenings and weekends on occasion
  • Must pass pre-employment screening

·        Hybrid working schedule: Tuesday, Wednesday and another day of your choice in the office required.


WORK ENVIRONMENT 

This position operates primarily in a professional office environment in Beaverton, OR with office hours typically being Monday – Friday from 8:30 AM – 5:00 PM, with flexibility in work-from-home or hours as approved by managers. In addition to working office hours, staff are required to work events that are in their scope as well as assist at events out of their scope as needed – with most events falling on weekends or evenings. The job will require a car for external meetings and limited travel around Oregon, and there is a possibility of out-of-state conferences (not frequent or guaranteed). Office attire is typically business casual, but more formal business attire may be needed for meetings.
