Overview
We are seeking a highly organized and dynamic Meeting Planner to coordinate and execute a variety of events, including non-profit meetings, conferences, banquets, retreats, and special functions. The ideal candidate will possess strong negotiation, communication, and organizational skills, with experience in event marketing, planning, and hospitality. Responsibilities
- Plan and coordinate all event details from initial concept to completion, ensuring seamless execution.
- Negotiate contracts with vendors, venues, caterers, and suppliers to secure the best terms and services.
- Develop and manage budgets for each event, ensuring cost-effectiveness without compromising quality.
- Oversee event marketing efforts to promote events and maximize attendance through various channels.
- Coordinate catering, banquet arrangements, and other hospitality services to meet client specifications.
- Manage guest services to ensure a positive experience for attendees, including registration and on-site support.
- Upsell additional services or packages to enhance event value and client satisfaction.
- Maintain strong relationships with clients through excellent customer service and communication skills.
- Manage timelines effectively using time management techniques to meet deadlines.
- Oversee contracts and legal agreements related to event logistics.
- Collaborate with hotel staff or venue management to ensure all arrangements align with event needs.
- Handle fundraising activities or special initiatives associated with events when applicable.
Requirements
- Proven experience in non-profit event planning, management, or hospitality industries such as restaurant, hotel, or banquet operations.
- Strong negotiation skills to secure favorable terms with vendors and venues.
- Excellent communication skills for liaising with clients, vendors, and team members.
- Exceptional organizational skills with the ability to multitask and prioritize effectively.
- Experience in marketing or upselling strategies to promote events successfully.
- Experience in utlizing various technology systems including microsoft, google, canva, jotform, event management systems including CVENT.
- Knowledge of event marketing principles and guest services best practices.
- Familiarity with budgeting processes and contract negotiations.
- Experience in banquet operations or catering is highly desirable.
- Ability to work under pressure in a fast-paced environment while maintaining attention to detail.
