POSITION SUMMARY
This position is M-Thur 9a-2p
Under general supervision, performs difficult, technical and responsible administrative work assisting an executive, court officer or department manager with a variety of complex office assistance and administrative tasks.
This is sedentary work requiring the exertion of up to 10 pounds of force occasionally and a negligible amount of force frequently or constantly to move objects, and some light work requiring the exertion of up to 20 pounds of force occasionally, up to 10 pound of force frequently, and a negligible amount of force constantly to move objects; work requires reaching, standing, walking, fingering, grasping, and repetitive motions, vocal communication is required for expressing or exchanging ideas by means of the spoken word; hearing is required to perceive information at normal spoken word levels; visual acuity is required for preparing and analyzing written or computer data, determining the accuracy and thoroughness of work, and observing general surroundings and activities; the worker is not subject to adverse environmental conditions.
ESSENTIAL DUTIES
- Supervision may be exercised over subordinate office assistance personnel
- Prepares specialized agency materials
- Receives, screens, processes, and directs telephone calls to appropriate authority, serving as department receptionist
- Schedules appointments, types, completes word processing and data processing duties
- Maintains and reviews detailed records and files for accuracy, including employee and personnel records, prepares and types a variety of complex reports and materials
- Answers questions and responds to inquiries or complaints on court, department and/or County operations, policies and procedures
- Processes mail
- Undertakes special projects as assigned by supervisor
- Serves as liaison with other courts and departments
- Trains, instructs and evaluates work performance of subordinate employees
- Checks accuracy of important documents and records such as invoices, briefs, agendas, dockets, warrants, subpoenas, personnel records and client records
- Collects and accounts for registration fees, fines, bonds and other monies
- Performs other duties as required.
KNOWLEDGE, SKILLS AND ABILITIES
Thorough knowledge of standard office practices, procedures, equipment and secretarial techniques; thorough knowledge of English, spelling and arithmetic; thorough knowledge of the organization and functions of the department and of general administrative polies and practices; ability to keep office records and to prepare accurate reports from file sources; ability to perform and organize work independently; ability to type and transcribe dictation at a reasonable rate of speed; ability to prepare effective correspondence on routine matters and to perform routine office management details without referral to supervisor; ability to establish and maintain effective working relationships with associates and the general public.
EDUCATION AND EXPERIENCE
High school graduation or equivalent and extensive experience in the office of an executive.
LICENSE / CERTIFICATION and OTHER REQUIREMENTS
- All regular full-time and part-time employees of Spartanburg County are required by state law to participate in the South Carolina Retirement System.
- Possession of a valid driver’s license valid issued in the State of South Carolina.
