We are seeking a dynamic and highly organized Office Administrator to join our team and keep our daily operations running smoothly. Duties

  • Manage front desk responsibilities, including greeting visitors, answering multi-line phone systems, and providing outstanding customer support with professional phone etiquette.
  • Handle data entry, filing, and document proofreading to maintain accurate records and ensure seamless information flow.
  • Coordinate calendar management, appointment scheduling, and meeting arrangements using tools like Google Workspace and Microsoft Office.
  • Oversee office supplies inventory, organize filing systems, and ensure all administrative materials are up-to-date and accessible.
  • Support bookkeeping tasks using QuickBooks or similar accounting software, including basic invoicing and expense tracking.
  • Assist with clerical duties such as typing correspondence, preparing reports, and managing incoming/outgoing mail.
  • Provide exceptional customer service by addressing inquiries promptly and professionally while maintaining a friendly demeanor.

Qualifications

  • Proven experience in office management or administrative roles with strong organizational skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
  • Excellent computer literacy with the ability to adapt quickly to new software tools.
  • Prior experience with QuickBooks or bookkeeping is preferred but not required.
  • Strong phone etiquette skills with experience managing multi-line phone systems
  • Demonstrated clerical experience including data entry, filing, proofreading, and calendar management.
  • Exceptional time management skills with the ability to prioritize tasks efficiently in a fast-paced environment.
  • Previous experience as a receptionist or personal assistant is advantageous; familiarity with medical or dental receptionist duties is a plus.
