We are expanding our team and looking for an experienced Intake Manager to own and grow our client intake process.
Position Overview:
We are seeking a highly organized, personable, and driven Intake Manager to serve as the first point of contact for prospective clients and to lead our intake function end to end. This is a pivotal role: you are the front door to the firm, responsible for turning inquiries into clients while ensuring every prospective client feels heard and respected. The ideal candidate combines genuine empathy with strong judgment, thrives in a fast-paced environment, and has the systems mindset to build and refine an intake operation as the firm scales. Familiarity with employment law is strongly preferred.
Key Responsibilities:
- Serve as the primary point of contact for prospective clients across phone, email, web leads, and referrals
- Conduct intake interviews with empathy and professionalism, gathering the facts needed to evaluate potential claims
- Screen and qualify leads against firm case criteria, flagging statute of limitations and viability issues, and route promising matters to attorneys for review
- Manage the intake pipeline in the firm's CRM, tracking every lead from first contact through signed engagement
- Prepare, send, and follow up on engagement agreements; collect signatures and initial documents
- Follow up promptly and persistently with prospective clients to maximize conversion
- Manage inbound and outbound referrals and maintain referral relationships
- Track and report on intake metrics, lead sources, and conversion rates
- Build, document, and continuously improve intake workflows, scripts, and systems
- Coordinate with marketing and attorneys to align lead sources with firm case criteria
- Maintain strict confidentiality and handle sensitive client information with discretion
Qualifications:
- 3 years of legal intake, client services, or sales experience, preferably at a plaintiff-side, personal injury, or employment law firm
- Familiarity with employment law claims strongly preferred
- Exceptional interpersonal, communication, and active-listening skills
- Proven ability to convert leads while maintaining a client-centered, empathetic approach
- Proficiency with legal CRM/intake software (e.g., Clio Grow, Lawmatics, Salesforce, or similar)
- Strong organizational skills and the ability to manage high lead volume without dropping the ball
- Sound judgment and the ability to work independently with minimal supervision
- Bilingual (English/Spanish) strongly preferred
- Prior experience building or managing an intake process a plus
