SPECIFIC DUTIES AND RESPONSIBILITIES

ESSENTIAL JOB FUNCTIONS

ALL FUNCTIONS MAY NOT BE PERFORMED BY ALL INCUMBENTS

Attends Court for intake of new cases typically by themselves.

Performs customer service functions: answers telephone calls, greets visitors, and assists individuals; provides information/assistance regarding department services, activities, procedures, documentation, fees, or other issues; distributes, processes, and/or assists defendants with completion of various forms/documentation; and responds to routine questions/complaints and initiates problem resolution.

Opens/closes the office daily.

Receives payments, records transactions and issues receipts, posts payments, balances daily payments/adjustments, prepares and delivers bank deposits.

Operates a computer to enter cases into system accurately and efficiently, retrieve, review or modify data, utilizing word processing, database, internet, e-mail, or other software; creates a file for each case, and operates general office or other equipment as necessary to complete essential functions.

Enters the results of drug screens, research missing screens and follows up.

Enters data from court and legal documents into computer systems, databases and applications: records court case information and legal documents; audits and reviews data for accuracy; updates case disposition information; and maintains accurate records and filing systems.

Responsible for electronically filing all documentation for the Spalding County Courts into the appropriate folder in a timely manner meeting all deadlines assigned by the court.

Communicates with supervisor, other county employees, judges, attorneys, clients, law enforcement, the public, outside organizations, and other individuals as needed to coordinate services, exchange information, or resolve issues.

Performs intake duties; assess cases for appropriate charges; explains charges and rights to defendant; prepares and processes intake paperwork, if needed.

Assists co-workers with administrative duties for the caseloads when requested.

MINIMUM TRAINING AND QUALIFICATIONS

High School Diploma required. Must possess and maintain valid Georgia Driver's License and furnish own means of transportation.

Specific Knowledge, Skills, or Abilities: Must be able to demonstrate proficiency in performance of the essential functions and learn, comprehend, and apply all County or departmental policies, practices, and procedures necessary to function effectively in the position.

(ADA) MINIMUM QUALIFICATIONS OR STANDARDS REQUIRED

TO PERFORM ESSENTIAL JOB FUNCTIONS

PHYSICAL REQUIREMENTS: Must be physically able to operate a variety of automated office machines which includes computer, printer, facsimile machine, binding machine, transcriber, etc. Must be able to use body members to work, move or carry objects or materials. Must be able to exert up to twenty pounds of force occasionally, and/or up to ten pounds frequently. Physical demand requirements are at levels of those for sedentary work. Must be able to lift and/or carry weights of twenty to forty pounds.

DATA CONCEPTION: Requires the ability to compare and or judge the readily observable functional, structural, or compositional characteristics (whether similar to or divergent from obvious standards) of data, people, or things.

INTERPERSONAL COMMUNICATION: Requires the ability of speaking and/or signaling people to convey or exchange information. Includes giving assignments and/or directions to co-workers or assistants.

LANGUAGE ABILITY: Requires the ability to read a variety of informational documentation, directions, instructions, and methods and procedures. Requires the ability to write reports and essays with proper format, punctuation, spelling and grammar, using all parts of speech. Requires the ability to speak with and before others with poise, voice control, and confidence using correct English and well-modulated voice.

INTELLIGENCE: Requires the ability to learn and understand relatively complex principles and techniques; to make independent judgments in absence of supervision; to acquire knowledge of topics related to primary occupation.

VERBAL APTITUDE: Requires the ability to record and deliver information, to explain procedures, to follow verbal and written instructions.

NUMERICAL APTITUDE: Requires the ability to utilize mathematical formulas; add and subtract totals; multiply and divide; determine percentages; determine time and weight; and analyze statistical data.

FORM/SPATIAL APTITUDE: Requires the ability to inspect items for proper length, width, and shape, visually with office equipment and recording devices.

MOTOR COORDINATION: Requires the ability to coordinate hands and eyes in using automated office equipment.

MANUAL DEXTERITY: Requires the ability to handle a variety of items, office equipment, control knobs, switches, etc. Must have the ability to use one hand for twisting or turning motion while coordinating other hand with different activities. Must have minimal levels of eye/hand/foot coordination.

COLOR DISCRIMINATION: Requires the ability to differentiate colors and shades of color.

INTERPERSONAL TEMPERAMENT: Requires the ability to deal with people beyond giving and receiving instructions. The worker needs to relate to people in situations involving more than giving or receiving instructions such as in legal reports and policies and in directing and managing staff. Must be adaptable to performing under minimal stress when confronted with an emergency.

PHYSICAL COMMUNICATION: Requires the ability to talk and/or hear: (talking - expressing or exchanging ideas by means of spoken words). (Hearing - perceiving nature of sounds by ear).

Pay: $36,000.00 per year
