Job Summary
We are seeking a highly organized and detail-oriented Scheduling Coordinator to support facilities and maintenance operations in a GMP pharmaceutical environment. The ideal candidate will be responsible for preventive maintenance scheduling, vendor coordination, documentation, inventory tracking, and supporting quality and compliance activities. Experience working in pharmaceutical, biotech, or life sciences environments is highly preferred.
Key Responsibilities
- Schedule and coordinate preventive maintenance (PM) activities.
- Track upcoming PMs and document pre-work activities in BMRAM or similar CMMS.
- Coordinate with vendors, Clean Environment teams, and Asset Owners.
- Monitor inventory levels for HEPA filters, replacement parts, and maintenance materials.
- Support vendor onboarding, training, and work execution.
- Process Authorization for Activity (AFA) work records.
- Request and maintain maintenance report templates and documentation.
- Attend vendor activities to provide operational oversight.
- Support documentation, audits, quality events, and compliance initiatives.
- Assist with trending reports and other facilities support activities.
- Communicate schedule updates and resolve scheduling conflicts efficiently.
- 3 years of experience as a Scheduling Coordinator, Maintenance Scheduler, Facilities Coordinator, or similar role.
- Experience in Pharmaceutical, Biotech, Life Sciences, or GMP-regulated environments.
- Knowledge of Preventive Maintenance (PM) scheduling and vendor coordination.
- Experience with CMMS systems such as BMRAM, Maximo, SAP PM, or similar.
- Strong proficiency in Microsoft Excel, Outlook, Teams, and Office Suite.
- Excellent organizational, communication, and multitasking skills.
- Experience supporting documentation, audits, and compliance activities.
- Ability to coordinate multiple stakeholders and manage changing priorities.
- Experience supporting cleanroom or controlled environment operations.
- Familiarity with HEPA filter replacement scheduling and facilities maintenance.
- Understanding of GMP documentation and quality systems.
- Experience working with maintenance planning or engineering teams.
- Bachelor's degree or Associate degree in Business, Engineering, Life Sciences, Facilities Management, or a related field preferred.
- Equivalent work experience will also be considered.
