JOB RESPONSIBILITIES:
OFFICE & ADMINISTRATIVE SUPPORT
- Manage incoming mail, phone calls, voicemails, and customer inquiries
- Schedule consultations and installations
- Create invoices, collect deposits, and obtain contract signatures
- Maintain organized job folders, files, spreadsheets, and business records
- Assist with payroll processing and maintaining financial records
- Maintain software subscriptions, systems, and data organization
- Coordinate troubleshooting and repair of office equipment and tools as needed
CUSTOMER & VENDOR RELATIONS
- Provide professional and friendly customer service
- Help maintain positive customer relationships and encourage customer reviews
- Coordinate with vendors regarding invoices, payments, reimbursements, and documentation
- Assist in resolving customer, vendor, and operational issues in a timely manner
OPERATION & FACILITY SUPPORT
- Help maintain cleanliness and organization of the showroom, office, warehouse, and other facilities
- Monitor inventory levels and maintain updated price lists
- Order office, marketing, and operational supplies as needed
- Operate a forklift as needed or assist with warehouse-related tasks
COMPLIANCE & TEAM SUPPORT
- Assist with insurance documentation, audits, and compliance requirements
- Support employee onboarding and offboarding processes
MARKETING & WEBSITE UPDATES
- Update website content and upload new project photos regularly
QUALIFICATIONS
- Strong organizational and multitasking skills
- Excellent communication and customer service abilities
- Experience with invoicing, spreadsheets, and Google Workspace
- Ability to work independently and prioritize tasks effectively
- Strong attention to detail and problem-solving skills
- Experience with accounting software, DocuSign, or other administrative software preferred
- Forklift experience preferred, but willing to train the right candidate
