Job Overview
We are seeking a dedicated and professional Front Desk Receptionist to join our team. The ideal candidate will be the first point of contact for our clients, tenants, and visitors; providing exceptional customer service while managing a variety of administrative tasks. This role requires strong organizational skills, attention to detail, and the ability to multitask effectively in a fast-paced environment.

Duties
- Greet clients and visitors warmly, ensuring a positive first impression.
- Manage multi-line phone systems, directing calls appropriately, taking messages as needed, and passing detailed messages in emails to team members.
- Collect and write receipts for tenant's rent and applicant's application fees.
- Perform data entry and maintain accurate filing systems for client records.
- Keep detailed and accurate records of visitor requests, calls received, and keys checked in/out.
- Provide clerical support including typing and managing correspondence.
- Assist in calendar management, scheduling appointments, and coordinating meetings.
- Issue reminder text messages to tenants for inspections and work orders.
- Assist tenant's with setting up payment plans as needed.
- Maintain office organization and supplies to create an efficient work environment.
- Maintain reception area and all common areas in a clean and tidy manner at all times.
- Manage key system and check out keys to vendors and applicants.
- Verify new tenant utilities have been appropriately set-up with utility companies after a tenant moves in.
- Handle customer inquiries with professionalism, providing support, and resolving issues promptly.
- Assist Leasing Agent with inquires, applicants, and reference checks as needed. Help prep move-in packets for new tenants.
- Assist with general follow-up, including lapsed renter's insurance, payment plans, key returns, etc.
- General administrative duties, including typing letters, printing labels, creating files, emails, scans, and prepping notices for posting.
- Utilize Microsoft Suite & Adobe Acrobat for document creation, scheduling, and communication purposes.
- Collaborate with team members to enhance workflow efficiency and improve administrative processes.
Experience
- Previous experience in a front desk or receptionist role is preferred, but not required.
- Strong customer service skills with a focus on phone etiquette and client interaction.
- Experience in office management or administrative roles is highly valued.
- Excellent computer literacy with experience in Microsoft Office Suite.
- Proficient in Adobe Acrobat application for filling in pre-built forms.
- Knowledge of cloud services (Dropbox) for file storage.
- Strong organizational skills with the ability to manage time effectively while handling multiple tasks simultaneously.
