Marketing & Business Development Coordinator
Reports To: President & CEO
Location: Company office / job sites, with local travel as needed
Classification: Full-Time, Non-Exempt
Compensation: $20.00 – $25.00 per hour, depending on experience, plus benefits
The Business Development & Marketing Coordinator drives the growth engine of Sovereignty Construction. This role owns the front end of our project pipeline — finding leads, tracking bid opportunities, and supporting RFP responses — while also building the company’s brand through content, photography, events, and our digital presence. The ideal candidate is a self-starter who is equally comfortable researching a bid opportunity in the morning, shooting job-site photos at lunch, and posting to social media in the afternoon. You will work directly with the President & CEO and the project team, and your work will be visible in every proposal we submit and every impression the public has of our company.
Key ResponsibilitiesLead Generation & RFP / Bid Pursuit• Identify and qualify new project leads through plan rooms, bid boards, public agency portals, tribal and government procurement sites, and industry relationships.
• Monitor RFP/RFQ/ITB postings daily; summarize opportunities, deadlines, and requirements for go/no-go decisions with leadership.
• Coordinate and assemble bid and proposal packages — forms, references, resumes, project sheets, insurance and licensing docs — accurately and on deadline.
• Maintain a library of proposal content: boilerplate, past-project descriptions, team bios, and certifications.
• Track outcomes of every pursuit and debrief wins and losses to sharpen future bids.
Pipeline Management & Market Research• Own the CRM / pipeline tracker: keep every lead, pursuit, and relationship current from first contact through award.
• Produce a weekly pipeline report for leadership showing active pursuits, upcoming deadlines, and forecasted revenue.
• Research target markets, agencies, developers, and general contractors; build contact lists and account plans.
• Monitor competitors, market trends, and upcoming capital improvement programs to position the company early.
Content Creation, Photography, Videography & Advertising• Plan and capture professional-quality photo and video of job sites, completed projects, and team members.
• Produce project case studies, capability statements, flyers, and email campaigns.
• Manage the content calendar so marketing output is consistent, on-brand, and tied to business goals.
• Plan and place paid advertising (digital, print, trade publications); track spend and results.
Trade Shows & Events• Research, recommend, and calendar the trade shows, conferences, and networking events worth attending each year.
• Handle event logistics end to end: registration, booth materials, giveaways, shipping, and setup/teardown.
• Represent the company professionally at events and capture leads for follow-up.
• Coordinate company-hosted events such as groundbreakings, ribbon cuttings, and client appreciation gatherings.
Brand Identity & Internal Marketing• Serve as the guardian of the Sovereignty Construction brand: logo use, colors, templates, apparel, vehicle graphics, and job-site signage.
• Keep proposals, presentations, and documents consistent with brand standards.
• Support internal culture and communications: team announcements, milestone celebrations, recruiting materials, and company swag.
Website, Digital Presence & Social Media• Maintain and update the company website: project portfolio, team pages, news, and SEO basics.
• Own social media accounts (LinkedIn, Instagram, Facebook, and others as appropriate): plan, post, engage, and grow the following.
• Manage Google Business Profile, online directories, and review platforms; respond to reviews promptly.
• Track website and social analytics and report monthly on what is working.
Administrative Support• Provide day-to-day administrative support to the President & CEO and project team: scheduling, correspondence, and document preparation.
• Answer and route phone calls and general email inquiries professionally and promptly.
• Maintain organized digital and physical filing systems for proposals, contracts, licenses, insurance certificates, and marketing assets.
• Prepare, format, and proofread letters, meeting agendas, presentations, and internal documents.
• Assist with ordering office and marketing supplies, coordinating vendors, and tracking related expenses.
• Support meeting logistics: scheduling, room/tech setup, taking notes, and following up on action items.
• 2 years of experience in business development, marketing, proposal coordination, or a related role.
• Strong writing and proofreading skills — able to produce clean, professional proposal and marketing copy.
• Proficiency with Microsoft Office (Word, Excel, PowerPoint) and design tools such as Canva or Adobe Creative Suite.
• Comfort with photography/videography using a smartphone or DSLR, and basic editing.
• Highly organized, deadline-driven, and able to juggle multiple pursuits and campaigns at once.
• Valid driver’s license and ability to travel locally to job sites and events.
Preferred• Experience in construction, engineering, architecture, or another built-environment industry.
• Familiarity with public agency and tribal procurement processes (RFP/RFQ/ITB).
• Experience with CRM software and email marketing platforms.
• Working knowledge of website content management systems (WordPress, Squarespace, or similar) and basic SEO.
• A pipeline tracker that leadership trusts — current, accurate, and reviewed weekly.
• No missed bid deadlines; every proposal submitted complete, compliant, and on-brand.
• A steady drumbeat of quality content: fresh project photos, an active social presence, and a website that reflects our best work.
