What are the responsibilities and job description for the 21st Century Secretary position at Southwood Elementary School?
The Secretary performs specialized, clerical and technical tasks related to the registration of students and maintenance of student records and files as well as related duties as required in the activities of the school site. They will also be responsible for conveying registration related information to appropriate parties.
Qualifications:
- High School Diploma required or post-high school professional training
- Minimum one (1) - two (2 ) years’ experience as a secretary or office experience; a comparable amount of training and experience may be substituted for the minimum qualifications
- Strong organizational, analytical, computation, communication and human relations skills
- Proficiency in the use of a computer system and word processing software
- Able to maintain confidentiality as required and appropriate
- Knowledge of office procedures, clerical skills and school operations.
- Knowledge of student registration and student record keeping.
- Experience in dealing effectively with parents, students, teachers, school personnel, and the general public with tact, courtesy and discretion
- Excellent organizational and time management skills
- Ability to communicate effectively orally and in writing
Duties and Responsibilities:
- Maintains/updates information within computer database
- Receives visitors/phone calls, and provides information or makes referrals to other staff members, when appropriate
- Serves as secretary and provides administrative assistance to the supervisor; schedules and arranges appointments, meetings and conferences
- Demonstrates regular attendance and punctuality
- Demonstrates interpersonal skills using tact, patience and courtesy
- Knowledge of modern office practices and procedures
- Ability to maintain clerical records and prepare simple reports. Ability to operate a variety of office machines
- Ability to utilize word processing, database and spreadsheet programs on the computer
- Ability to compile information from various sources and type on a variety of forms
- Ability to exercise independent judgment in the interrelation and application of standard practices and procedures.
