The Academic Administration Office supports the Vice Deans’ Office, faculty, and academic operations across the institution. The office facilitates the faculty recruitment process and coordinates onboarding for full-time and adjunct faculty. It provides administrative and logistical support to key faculty committees, manages committee elections and records, and supports faculty processes.


The primary responsibility of the Assistant Director of Academic Administration is to manage and provide high-level administrative and operational support for faculty and adjunct operations. This position requires strong organizational, coordination, and administrative skills, as well as experience managing records, processing documentation, coordinating events, and supporting academic programs.


Primary Responsibilities:

  • Answer office lines and monitor email, ensuring timely responses to inquiries or referring to appropriate stakeholders;
  • Manage room reservations, calendar clean-up, holidays, room switches, and event space issues for academic-related requests;
  • Maintain the Faculty Lounge, including mailboxes and semester grids;
  • Manage adjunct records, including account access, contact lists, distribution lists, and portal pages;
  • Maintain adjunct teaching assignments, track promotion eligibility, and coordinate ordering of promotion gifts;
  • Prepare adjunct contracts and compensation documents;
  • Prepare and send advocacy program coaches' letters (Moot Court, Negotiation, and TAHP), collect documentation as needed, and prepare check requests for stipends;
  • Coordinate faculty recruitment logistics, including candidate documents, travel arrangements, and catering;
  • Support and/or coordinate faculty engagement activities and event logistics;
  • Provide administrative support to the Director of LAWS in relation to the LAWS Advocacy Rounds and submission of LAWS Briefs to ensure anonymity;
  • Provide administrative support for the Production Exercise;
  • Process invoices, reimbursements, and other financial transactions;
  • Track departmental budgets related to faculty recruitment, travel, and other expenses;
  • Monitor faculty subscriptions, renewals, and professional development request forms; and
  • Complete other duties as assigned.


Minimum Requirements:

  • Bachelor’s degree with at least two years of experience in administrative or academic support services; an equivalent combination of education and experience may be considered in lieu of the minimum education requirement.
  • Demonstrated ability to exercise a high level of judgment, discretion, integrity, and confidentiality.
  • Strong attention to detail and accuracy, with the ability to apply creative problem-solving skills to develop effective solutions.
  • Excellent interpersonal, customer service, and written/verbal communication skills, with sound judgment and professionalism.
  • Strong organizational and planning skills, with the ability to coordinate and manage multiple assignments and projects simultaneously.
  • Proficiency in Microsoft Office (Word, Excel, Outlook), as well as email and database systems.


Salary: $28.85/hour
