Job Summary:
This position supports the Institutional Academic Administrator in managing administrative tasks related to institutional and programmatic compliance, policy implementation, and accreditation support. This role acts as a liaison between the administrator and various college programs, departments, faculty, and staff, ensuring consistent and timely communication, organization, and documentation. The assistant will help coordinate day-to-day operations and provide support for writing, scheduling, and project follow-ups.
Key Responsibilities:
Assist in preparing and organizing documents for:
- Accreditation reviews (programmatic and institutional)
- Policy and procedure updates
- Institutional and programmatic review preparation
Support the administrator in maintaining compliance with:
- Institutional and programmatic accreditations
- State and federal regulations
- Internal policy and procedure updates
Help coordinate and organize:
- Meetings, calendars, and schedules for institutional initiatives
- Program development and re-accreditation planning
- Compliance tracking and reporting
Support communication efforts by:
- Drafting meeting minutes, agendas, and follow-up summaries
- Assisting with internal documentation needed for faculty, staff, and external entities
- Assisting with marketing content reviews related to accreditation or compliance
Help with collecting, organizing, and distributing:
- Institutional and student surveys for compliance and data collection
- Training materials and documentation for faculty and staff
- Data and resources for institutional or departmental projects
Serve as a resource for the administrative team in:
- Scheduling support
- Drafting communication and documentation
- Data entry and tracking for institutional reports
Collaborate with:
- Program and department assistants
- Student activity coordinators and marketing liaisons
- Administrative leadership to maintain consistency and support across departments
Represent the institution’s values, culture, and professionalism in all duties
Education and Experience:
- Bachelor’s degree preferred or currently enrolled in a related program
- Experience in an educational, administrative, or public relations setting is a plus
- Strong writing, editing, and communication skills required
Technical Skills & Requirements:
- High level of organization, attention to detail, and time management
- Proficiency in Microsoft Office, Google Workspace, and other office productivity tools
- Ability to take initiative, work both independently and collaboratively
- Excellent verbal and written communication skills
- Comfortable in supporting multiple teams and managing competing priorities
