Summary:
The Project Management Coordinator role is responsible for effective planning, execution, training and delivery of projects at Southwest Transplant Alliance. The Project Management Coordinator will engage employees at all levels to develop, coordinate, track, and manage projects for a variety of simultaneous initiatives of varying sizes in collaboration with stakeholders
Essential Job Functions and Responsibilities:
- Communication
- Develop and maintain consistent and thorough communication with project stakeholders.
- Respond to project stakeholders’ requests or issues in a timely and professional manner.
- Collaborate with the Learning & Development Department to support training prior to the implementation of projects.
- Time Management
- Manage several cross-departmental projects using agile and other traditional project methods in a fast-paced environment with multiple stakeholders.
- Receive, manage, and process project submissions in accordance with Project Management Office guidelines.
- Schedule all cross-departmental project meetings and assign responsibilities for project deliverables.
- Attention to Detail
- Support the development of Project Management materials including SOPs, Gantt charts, workflows, and process maps.
- Develop and maintain various tools and systems templates related to project management, continuous improvement, and change management.
- Administrative duties and department metric reporting.
- Maintain working knowledge of current Project Management industry trends.
- Problem-Solving
- Assist the Manager of Project Management Office with the development of comprehensive project plans that are shared with teams to ensure deliverables and changes are tracked and understood by stakeholders.
- Manage changes to project scope, schedule, and costs to keep plans accurate and updated.
- Performs other job-related duties as assigned that are consistent with the purpose of the role.
Education, Experience, and Licensing Requirements:
- Bachelor’s degree in business management or related field is preferred. A combination of alternative education and experience may be considered in lieu of the formal education requirements.
- Certified Associate in Project Management (CAPM), Project Management Professional (PMP) or equivalent is required.
- Minimum of 1 year of experience leading, planning, and managing projects in a Project Management Office or similar team environment, working on custom business development-related projects is required.
- Experience using Project Management Software such as Monday.com, MS Project, Smartsheet, Azure Dev Ops is required.
- Working knowledge of project management life cycle models as well as strong knowledge of traditional project management principles and practices.
- Current Driver’s License is required and maintained with an acceptable driving record as defined by STA policy.
Compliance:
- This position is classified as OSHA Bloodborne Pathogens Exposure Category III. Employees in this role are not routinely expected to perform tasks that involve contact with blood, bodily fluids, or other potentially infectious materials.
- While exposure risk is minimal, employees are expected to follow organizational safety policies and report any potential exposure incidents immediately.
- This role requires compliance with HIPAA and all confidentiality standards related to patient, donor, employee, and organizational information. Employees must safeguard all confidential information and disclose it only as permitted by law and organizational policy.
