Summary:

The Manager of Clinical Services is responsible for the day-to-day activities of the Supervisor of Organ Recovery Coordinators. The incumbent is also responsible for all events which follow a referral of a potential organ donor through recovery. This role will also assist in directing the recruitment, development, and retention of Clinical department staff. The activities also include input into the orientation of new staff, as well as any special projects which may be assigned. The incumbent develops and maintains expertise associated with on-site donor evaluation and organ recovery practices to include, but not limited to, donor management, organ preservation and organ distribution logistics.

Essential Job Functions and Responsibilities:

  • Communication
    • Work successfully with various staff members of STA, hospitals, and transplant centers to facilitate the organ donation process to maximize the gift of donation.
    • Attend and report on STA organ recovery efforts at management meetings.
  • Time Management
    • Prepare appropriate work assignments and schedules to ensure appropriate coverage.
    • Monitor and control the time accounting of Clinical Services department staff.
    • Submit and review time sheets and expense reports.
    • Review and approve Paid Time Off (PTO) requests.
  • Attention to Detail
    • Compile with and implement all applicable standard operating procedures.
    • Ensure all clinical staff adhere to organizational policies and procedures.
    • Assure that organ recovery is done in compliance with all applicable regulatory standards (OPTN, UNOS, STA, state, and federal laws) necessary to assure safety of organs and appropriate accreditations.
    • Responsible for preparation for all inspections and support periodic audits of functions to ensure ongoing compliance.
  • Problem-Solving
    • Responsible for administrative and clinical calls necessary to observe and evaluate staff members, assist staff with problem solving, and answer administrative questions related to organ donation efforts.
  • Accountability
    • Organize and manage organ donor evaluation, donor management, organ allocation, and recovery processes.
    • Participate in New Hire Orientation.
  • Conflict Resolution
    • Initiate conflict resolution processes to include employee counseling.
  • Coaching & Feedback
    • Provide mentorship, coaching, support, and motivation to clinical staff.
    • Observe clinical staff regularly relating to a broad variety of hospital personnel, including intensivists and critical care nursing staff.
    • Complete assessments on clinical staff expected activities to allow for professional growth and improvement within the department.
    • Collaborate with the Learning & Development department to develop and implement programs focused on education and training of the Clinical Services department to ensure staff are properly trained and competent to perform assigned duties and responsibilities.
  • Collaboration & Influence
    • Work with the People Services department and senior leadership to recruit, interview, and hire qualified staff.
    • Work with the Hospital Services department to identify opportunities for increased donation, presentation of common integrated message, and improvement in donation outcomes.
    • Interact with the Quality Systems & Risk department to ensure quality monitoring of activities related to organ procurement including chat record review, case oversight, technical decision-making, documentation, and customer satisfaction.
  • Performance Management
    • Conduct annual performance assessments and competency assessments.
    • Work with the Director of Clinical Services to develop and track performance metrics for each area of responsibility in the Clinical Services department, including by not limited to donor evaluation, donor management goals, donor chart documentation, organ allocation, and organ recovery outcomes.
  • Decision Making
    • Make real-time operational decision related to donor evaluation, donor management, organ allocation, and recovery coordination to support timely and safe organ recovery outcomes/
    • Assess clinical and logistical variables and determine appropriate escalation pathways to Clinical leadership, Hospital Services, Quality Systems & Risk, and transplant centers, as needed.
    • Assist in budget development for the Clinical Services department.
  • Process Improvement
    • Identify workflow gaps, inefficiencies, or recurring barriers within donor evaluation, donor management, organ allocation, and recovery coordination processes and implement improvements to support operational consistency.
    • Participate in quality initiatives by reviewing audit results and case trends, develop action plans, and track follow-through to completion.
  • Performs other job-related duties as assigned that are consistent with the purpose of the role.

Education, Experience, and Licensing Requirements:

  • Bachelor’s degree in allied or health science is required. A combination of alternative education and experience may be considered in lieu of the formal education requirements.
  • Licensed as a registered nurse pr physician’s assistant is preferred.
  • Certified Procurement Transplant Coordinator [CPTC] is required.
  • Minimum of 3 years of experience in critical care is required.
  • Minimum of 1 year of experience in all phases of the donation process and organ preservation is required.
  • Minimum of 3-5 years of experience in management to include recruiting, training, and supervising staff is preferred.
  • Current Driver’s License is required and maintained with an acceptable driving record as defined by STA policy.

Compliance:

  • This position is classified as OSHA Bloodborne Pathogens Exposure Category I. Employees in this role routinely perform job duties that may involve direct contact with blood, bodily fluids, or other potentially infectious materials (OPIM). Appropriate use of Personal Protective Equipment (PPE) is required at all times.
  • Employees will receive mandatory training on bloodborne pathogens, safe work practices, and proper PPE usage. Employees must comply with all applicable federal, state, and local laws, accreditation requirements, and organizational policies.
  • This role requires compliance with HIPAA and all confidentiality standards related to patient, donor, employee, and organizational information. Employees must safeguard all confidential information and disclose it only as permitted by law and organizational policy.
