Position Summary

Essential Functions, Roles, and Responsibilities
- Manages all dental auxiliary staff at both Butte and Dillon locations.
- Manages staff scheduling and time off to ensure coverage at all sites.
- Departmental onboarding and training of staff to meet performance standards.
- Performs employee performance evaluation, promotion, termination, and retention activities according to organization policies and procedures.
- Manages and coordinates patient schedules and workflow.
- Oversee all daily office activities and provide direction and guidance to employees as needed to ensure patient satisfaction and achieve target goals with encounters and production.
- Oversees patient communication, including estimates of treatment plans, costs, insurance issues and required payments in line with SWMTCHC policies.
- Responds efficiently and professionally to patients’ and Providers’ needs and inquiries and ensures proper communication with provider teams, including making post-operative calls as needed and managing the specialist referral process.
- Resolves patient issues in accordance with company policies, procedures, healthcare regulations and dental board standards.
- Attend Azara meetings, and gather and report all data required at monthly Performance Improvement meetings.
- Attend monthly Continuum update meetings for EPIC/OCHINI updates and test in Release and train staff when the updates impact department workflow.
- Maintain positive relationships with dental sales representatives and vendors; meet with them to discuss new products.
- Oversee dental equipment and maintenance, including documenting all repairs and maintenance, provide quotes for new equipment according to organization procurement policies.
- Organize and oversee inventory, supply purchases, equipment upgrades and operational expenses. Receive all purchases and sign as received. Review, approve and code all dental invoices and submit to finance.
- Perform year-end inventory counts per audit requirements.
- Maintain/Update Dental MSDS Sheets (Review Annually/both sites).
- Attend conferences, appropriate trainings, and outreach events.
- Identifies areas of improvements and implements appropriate corrective actions with collaboration from Dental Director; his may include establishing new workflows, employee training, employee time management and more.
- Work closely with the Billing Department and Compliance Coordinator to ensure correct and timely insurance and patient billing.
- Review production reports and financial budgets each month with Dental Director and CFO.
- Run and analyze management reports including UDS measures, post-op calls, provider performance reports (weekly/monthly production and missed appointments) to ensure site efficiency, review monthly with Dental Director.
- Adheres to SWMTCHC Policies and Procedures.
- Participates in performance optimization and risk management activities as required.
- Provides exceptional customer service and models the mission of SWMTCHC when interacting with internal and external stakeholders promoting a positive image for the health center.
- Performs other duties as assigned or required with or without prior notification.
