The Program Coordinator plays a central role in supporting the execution of defense innovation programs and events while ensuring seamless day-to-day operations of the organization. This individual will coordinate with internal teams, external partners, and vendors to drive program delivery, manage logistics, and maintain a professional, mission-driven environment. The ideal candidate is highly organized, proactive, and detail-oriented, with the ability to manage multiple priorities and engage professionally with a wide range of stakeholders.
Specific responsibilities include:
Event & Program Coordination
· Coordinate planning and execution of programs, workshops, and events aligned to DoD and industry engagement
· Assist with event preparation, setup, and post-event follow-up
· Manage program timelines, logistics, and deliverables to ensure successful execution
· Serve as a coordination point across internal team members, vendors, and external partners
· Support development and maintenance of program documentation and reporting
Front Desk & Reception
· Serve as the first point of contact for visitors, partners, and clients, ensuring a professional and welcoming experience
· Manage inbound communications (email, phone, general inquiries) and route appropriately
· Support coordination of meetings, including scheduling, logistics, and preparation of materials
· Maintain a polished, mission-aligned office environment for internal and external engagement
Operational & Security Support
· Support day-to-day office operations to ensure efficiency and organization
· Manage inventory, supplies, and vendor coordination
· Serve as liaison with building management and service providers
· Support implementation of office access control procedures and basic security protocols
· Coordinate visitor access, badging, and check-in processes
· Maintain confidentiality and ensure adherence to company and client security requirements
· Assist with documentation and compliance processes as needed
Qualifications
· An associates degree in business, finance, or a similar field
· Experience coordinating events, programs, or multi-stakeholder activities preferred
· Strong organizational and project coordination skills
· Excellent communication skills, with the ability to engage professionally with external partners
· 2 years of experience working in a professional office, startup, or client-facing environment preferred
· Proven ability to manage multiple priorities in a fast-paced environment
· Comfortable handling security procedures and confidential information
Pay: $65,000.00 per year
