Position Overview
· Daily responsibilities include supporting accounting ,operations, and sales staff to ensure the company achieves their long-term operational sales and service goals.
· He/She is responsible to assist in organizing and coordinating accounting/bookkeeping procedures and resources to facilitate organizational effectiveness and efficiency.
· He/She also assists in performing a customer service role in dealing with customers with direct sales and maintenance lead calls, along managing customer AR and vendor AP.
Performance Expectations
· Assist in ensuring company policies and procedures are adhered to, implemented and documented- follow proper workflow procedures
· Demonstrate strong organization and communication skills, able to multitask
· Communicate regularly and effectively with Accounting Operations teams
· Display a positive attitude to both customers and employees
· Excellent computer software skills- MS Word, MS Excel, Google Docs, Email programs, Sage Intacct
· Represent SWG of FL in a professional manner to customers, architects, builders, or other contractors who SWG of FL must interface with to properly complete a project
· Arrive to work on time and fulfill working day office hours , 8 hour days, M-F/week, 8:30am-5pm with a 30 minute lunch break; 40 hour work week
· Assist in effectively solving problems and implement solutions as they relate to office operational procedures
· Maintain good interpersonal and teamwork skills
· Direct report to Accounting specialist with dotted line to owner VP
· Maintain a neat office and workspace, strategically plan tasks for each day, and keep organized in order to improve overall work productivity
· Bilingual, English/Spanish is a plus
· Landscaper/Construction industry background is a plus
Accounting/ Operations/ Sales Team Coordination Duties:
1.Assist Accounting ,Operations, Sales teams as point of office contact : receive contracts, begin creating and organizing customer job file workflow to ensure all relevant details are accurate, complete and contained in filing system- learn/understand the job flow process within SWG of FL
2. Assist Sales team in handling customer inquiries, distribute and track sales leads and inquiries that come in through phone and online from MXTR system in a professional manner consistent with company values, along with maintaining monthly sales report
3. Assist Accounting with expense control by detailing crew company expense receipts and scanning in to electronic filing system
4. Assist Accounting with vendor AP-Learn Inventory control software to assist with matching POs with item receipts to invoices for job materials ordered- ie turf, sand, dumpsters, aggregate; and then scan in receipt to electronic filing system
5. Assist Accounting with AR collections-communicate with phone call follow ups on accounts receivables by using the file tracking system so payments are remitted timely
6. Assist Accounting with maintenance program customers: scheduling, processing credit card payments, tracking service visits
7. Assist Accounting by reviewing job/crew board daily to maintain weekly crew list on google sheets for payroll purposes
8. Assist Accounting by communicating with insurance agent for COIs when necessary , ie for builders and subcontractors
9. Assist Accounting by filing NTOs for jobs when necessary
10. Assist Operations by making hotel reservations for out of town crews
11. Assist Sales team by creating and emailing Thank You notes to customers once jobs are complete
Administrative/ Customer Service Duties:
1. Assist in ensuring security and integrity of confidential data with internal and external customer bases
2. Answer incoming calls with a smile to ensure the caller feels welcomed-first point of contact
3. Attend to daily mail- opening, sorting, sending, along with monitoring incoming checks for payment- including deposits and finals
4. Assist with establishing and maintaining filing system for organization of customer jobs and vendor AP
5. Receive deliveries of UPS/FED EX packages and other materials into the office- mail out sample requests
