Practice Administrator – Medical Practice (In-Person)

Southwest Florida Rheumatology is seeking an experienced Practice Administrator to oversee day-to-day operations across two busy rheumatology clinic locations. This is a hands-on, in-person leadership role for a healthcare operations professional who thrives in a growing practice environment.
The Practice Administrator works closely with the Practice Owner/Medical Director to ensure efficient clinic operations, strong staff leadership, scalable systems, and a high-quality patient experience.
Key Responsibilities
Clinic Operations & Staff Leadership
- Directly oversee front desk, scheduling, medical assistants, LPNs, and registered nurses
- Manage daily clinic flow and staff coverage across both locations
- Support staff performance, workflow efficiency, and adherence to practice policies
- Serve as escalation point for operational or staffing issues
Human Resources & Payroll
- Oversee HR functions including:
- Payroll processing and coordination with payroll vendors
- Timekeeping, PTO tracking, and attendance management
- New hire onboarding and offboarding
- Employee file maintenance and documentation
- Support workforce planning aligned with practice growth
Scheduling & EMR Oversight
- Oversee provider and staff schedules
- Serve as the operational liaison for the EMR system
- Coordinate with EMR, IT, and phone system vendors as needed
- Support staff training and troubleshooting related to workflows and systems
Vendor, Policy & Business Support
- Act as primary contact for operational vendors and service providers
- Assist with office policy management and implementation
- Serve as a liaison for business insurance matters in coordination with leadership
- Support audits, renewals, and operational documentation as needed
Provider Onboarding & Growth Support
- Assist with provider onboarding, collaborating with outsourced vendors and contractors
- Help prepare operational systems and workflows for future growth
- Support implementation of new services, providers, or operational initiatives
Facilities Management
- Oversee maintenance and operational needs for both physical locations
- Coordinate repairs and service vendors to maintain professional clinic environments
Qualifications
- Previous experience in medical practice administration or healthcare operations
- Experience managing clinical and administrative staff
- Working knowledge of EMR systems and healthcare scheduling
- Experience overseeing HR functions and payroll coordination
- Strong organizational, leadership, and communication skills
- Comfortable working in a fast-paced, growing practice environment
- Ability to work fully in-person across two locations
