Position Summary
The Assistant Director of Graduate and Worldwide Admissions is responsible for recruiting and enrolling students across graduate, doctoral, undergraduate completion, certificate, accelerated, and online programs, with a primary focus on achieving annual enrollment goals for the Doctor of Physical Therapy (DPT) program. This position serves as a prospective student advocate throughout the enrollment journey, providing personalized guidance from inquiry through enrollment. In addition to recruitment responsibilities, the Assistant Director supports enrollment growth through strategic communication campaigns, event planning, CRM management, and collaboration with faculty and marketing partners to enhance program awareness and student engagement.
Essential Duties and Responsibilities
Recruitment and Enrollment Management
● Recruit and enroll students for assigned graduate, doctoral, undergraduate completion, certificate, accelerated, and online programs, with primary responsibility for meeting annual enrollment goals for the Doctor of Physical Therapy program.
● Serve as the primary point of contact for prospective students, providing guidance regarding academic programs, admissions requirements, application processes, tuition costs, financial investment, and career outcomes.
● Maintain consistent communication with inquiries and applicants through phone, email, text, and virtual meetings to support progression through the admissions funnel.
● Conduct proactive outreach to inactive inquiries and applicants to re-engage prospects and encourage application completion.
● Monitor applicant progress and facilitate timely review of admissions materials to support efficient admissions decision-making.
● Maintain accurate records and student interactions within the University's customer relationship management (CRM) system.
Communication and Marketing Support
● Develop, manage, and execute communication campaigns within the University's CRM system to support recruitment and enrollment goals.
● Collaborate with the Marketing team to develop recruitment materials, digital content, program webpages, and enrollment-focused messaging.
● Submit and manage marketing requests through project management software and coordinate updates, revisions, and approvals as needed.
● Create and distribute targeted communications aligned with admissions cycles and enrollment objectives.
● Monitor and respond to Graduate and Worldwide Admissions inquiries in a timely manner.
Doctor of Physical Therapy Recruitment Support
● Manage and maintain the University's presence within the Physical Therapist Centralized Application Service (PTCAS).
● Monitor application activity within PTCAS and process application materials in support of admissions review.
● Develop and distribute recruitment communications through PTCAS, including program updates, scholarship opportunities, event promotion, and enrollment availability.
● Maintain internal enrollment tracking and reporting documents related to DPT recruitment efforts.
Event Planning and Outreach
● Plan, coordinate, and execute recruitment events, including webinars, virtual information sessions, campus visits, and other enrollment-focused activities.
● Collaborate with faculty, current students, alumni, and university partners to support event participation and student engagement.
● Schedule and conduct recruitment travel, including college fairs, professional conferences, partner institution visits, and other outreach opportunities.
● Track event attendance and evaluate outcomes to support continuous improvement of recruitment strategies.
Data Analysis and Reporting
● Monitor enrollment trends, application activity, and recruitment outcomes to identify opportunities for growth.
● Maintain accurate enrollment records and provide reports as requested.
● Utilize enrollment data to inform recruitment strategies and communication efforts.
Supervisory Responsibilities
This position does not have direct supervisory responsibilities but regularly collaborates with faculty, staff, student ambassadors, and current students in support of recruitment activities and events.
Required Qualifications
● Bachelor's degree from an accredited institution.
● Strong written and verbal communication skills.
● Excellent organizational skills with the ability to manage multiple priorities and deadlines.
● Ability to build relationships with prospective students, faculty, staff, and external partners.
● Proficiency with Microsoft Office and customer relationship management systems.
Preferred Qualifications
● Three or more years of experience in admissions, enrollment management, recruitment, marketing, or a related field.
● Experience utilizing CRM platforms, campaign management systems, or enrollment technologies.
● Experience planning and executing recruitment events, webinars, or campus visit programs.
Work Environment
● Minimum of three-four days per week in the office, with the possibility of one or two remote workdays based on departmental needs.
● Requires occasional evening and weekend work to support recruitment events and travel.
● Requires the ability to manage multiple priorities and adapt to changing enrollment needs and deadlines.
