The DOT Manager is responsible for all DOT Compliance Programs. The role coordinates closely with HSE Director, operations, DOT team within the business unit and the TNT family of companies to obtain information, identify needs, and implement changes to ensure full regulatory compliance and to meet business needs while establishing and maintaining a strong DOT safety culture.
Essential Duties And Responsibilities
The DOT Manager is responsible for all DOT Compliance Programs. The role coordinates closely with HSE Director, operations, DOT team within the business unit and the TNT family of companies to obtain information, identify needs, and implement changes to ensure full regulatory compliance and to meet business needs while establishing and maintaining a strong DOT safety culture.
Essential Duties And Responsibilities
- Establishes and executes DOT operational goals and ensures the DOT Program supports Company strategies, mission, vision, and safety standards set forth by TNT family of companies.
- Administers company DOT compliance policies, addressing all but not limited to commercial driver's license violations, improper use of motor vehicles, unsafe operations, HOS violations, DVIRs, motor vehicle accidents and incidents.
- Actively work in and engage with company software programs and websites: CFDS (Commercial Fleet Data Systems), Samsara, DISA, PMAP, and FCC (Fleet Cost & Care).
- Collaborate with Human Resources & DOT Compliance personnel on new hires related to obtaining and reviewing of MVR (Motor Vehicle Reports) and previous driving history; identify possible issues or concerns during this pre-employment process.
- Supports driver training, ELDT and CDL program including new driver training, annual training, HOS, and remedial driver training to ensure drivers are trained properly and exceed safety and regulatory standards.
- Assist drivers and Samsara Telematic specialist with HOS on daily basis. Address and major issues with branch managers.
- Audits the current preventative maintenance program for the purpose of ensuring the vehicle fleet is maintained in a safe and compliant condition. Supports branch shop staff to adhere to CVSA OOS of services regulations, DVIRs, annual inspections, and all other parts and operations of a CMV.
- Maintains accident logs per FMSCA, collecting all data for documentation and performing regular reconciliations to confirm files are complete and accurate.
- Perform DOT audits within the PMAP system.
- Assist HSE department and branches with accident investigations
- Daily review all inspections on FMSCA Portal or inspections submitted. Inspections will be reviewed, signed, and submitted to regulatory agency within timely manner. Review violations for corrective action with either equipment or driver and execute on corrective action steps with documentation to meet or exceed regulatory standards.
- Identify HOS and DOT trends to address to maintain safety culture and satisfactory CSA scores.
- Review inspections and citations for potential to adjudicate with courts/government agencies. In addition, DataQ's where applicable to maintain the Company's FMSCA CSA satisfactory rating. Also reward clean inspections with Thank you & gift card.
- Branch visits to maintain relationships with branch manager and field personnel; in addition to facilitate trainings, Q & A’s, announce updates, equipment inspections etc.
- Assist logistics & trucking division with OSOW permitting if needed.
- Maintain professional relationship with various law enforcement commercial vehicle agencies.
- Remain active in state motor carrier association and other DOT related conferences and trainings to be informed and educated on latest regulations affecting
- Oversees DOT Compliance personnel to ensure driver qualification files and ongoing reports such as MVRs and FMCSA Clearinghouse queries are pulled and reviewed along with the drug & alcohol program are compliant with regulations.
- Ensures required periodic filings such as MCS-150 are completed accurately and submitted in a timely manner to avoid penalties.
- Ensures that personnel understand and follow commercial motor vehicle safety and regulatory policies and procedures for compliance purposes.
- Support HSE Director with ideas and trainings for monthly safety meeting and memo.
- Distribute monthly CSA score and educate on trends and current status.
- Supports in lowering EMR, TRIR, and DOT scores.
- Audit and approve invoices with creation of POs for DOT department.
- Support Smith Driver trainer is announcing, scheduling, tracking, and issuing certificates.
- Attend monthly company meetings: monthly branch field safety meeting, HSE & IIF leadership team meeting.
- Attend annual HSE conference in Houston, TX
- In the event of audit, prepare for and actively participate in audit process.

- Must be highly detail oriented and extremely organized
- Must be able to read, interpret, and implement compliance with Government Regulations or
- industry standards. Working knowledge of 49 CFR 194, 195, state driving safety regulations
- Effective interpersonal written and verbal communication skills
- Proficient and skilled in the Microsoft Suite of office software
- Must be able to work effectively with all levels of the organization in a professional manner
- Must be a self-starter and highly motivated to set own priorities, and balance multiple jobs
- Dependable
- Experienced in on-site full audits, off-site/focused audits/corrective action letter highly preferred
- Experience with Samsara Telematics preferred
