Position Summary
The Medical Office Operations Coordinator plays a critical role in ensuring smooth, efficient, and compliant day-to-day operations. This is not just a front-desk role — it includes patient services, administrative coordination, insurance verification, and EHR management. We're looking for someone who is technically skilled, calm under pressure, and committed to high standards in both communication and execution.
Key Responsibilities Patient Check-In & Check-Out
- Review and manage patient profiles, balances, and referrals
- Verify insurance benefits and collect co-pays / balances
- Schedule follow-ups and coordinate counseling appointments appropriately
Administrative Operations
- Ensure accuracy in patient demographic and insurance data
- Complete all end-of-day, weekly, and monthly administrative tasks (e.g., invoicing, encounter closures, payment application)
- Process insurance eligibility checks and review payment-related tasks regularly
Communication & Support
- Promptly handle all incoming patient calls, messages, and emails with compassion and respect
- Communicate clearly with patients and staff regarding expectations, scheduling, and payment
- Serve as a reliable point of contact for the clinic director on operational issues
Workflow Ownership
- Take initiative to complete tasks proactively without needing constant direction
- Follow established protocols and escalate concerns when appropriate
- Handle special projects and administrative responsibilities as assigned
Key CompetenciesTechnical & Administrative
- Experience with EHR/EMR systems and insurance verification (eClinicalWorks experience preferred)
- Strong organizational and time-management skills
- Attention to detail and accuracy under pressure
- Ability to multitask across billing, scheduling, and documentation tasks

Requirements
- 2 years of experience in a medical or behavioral health office (required)
- Proficiency with basic insurance workflows (required)
- Strong written and verbal communication skills
- Prior experience in addiction treatment or mental health (preferred but not required)
Compensation & Structure
- 1099 Contractor
- $16.00–$22.00 per hour, based on experience and skillset
- Work Schedule: Monday–Thursday, 8:00 AM – 5:00 PM
- Located on-site at Southland Recovery
