What are the responsibilities and job description for the Senior Payroll Tax Accountant position at Southland Industries Inc.?
Position Summary
The Senior Payroll Tax Accountant will play a key role in ensuring the timely and accurate tax reporting, compliance, liabilities, and the filing of associated employment tax returns for multiple FEINS, and in multiple States/Localities for all Southland Industries’ entities via Third Party Tax Services/ADP. You will also ensure the integrity of employee wage and tax data reported on employees’ Form W-2.
Position Details
- Review and reconcile all daily tax and wage amounts submitted to Third-Party Tax Services/ADP and research any discrepancies and handle accordingly. This includes the monthly, quarterly, and annual reconciliations of gross earnings to taxable wages and reports/interface files to validate accuracy, and provide backup to the Payroll Director to ensure successful processes.
- Ensure the accuracy, timeliness, and completeness of all monthly, quarterly, and annual tax filings, amendments, and reporting including employee W-2s and W-2c’s. Prepare various tax returns, forms and reporting not filed by Third-Party Tax Services/ADP regarding W2 reporting. Also assist with preparation/review of all Other required government reporting as needed
- Research all W-2 correction inquiries, complete and submit all W-2c’s for review and approval, and distribute W-2c through appropriate channel.
- Submit tax notices and facilitate resolutions in coordination with Third-Party Tax vendor/ADP timely to avoid penalties and interest; assist with research and determining the root cause, and work with the appropriate parties to take action to prevent future issues.
- This also includes maintenance of Federal/State unemployment tax rate tables and communicating applicable changes to Third-Party Tax Services/ADP, and applicable contacts.
- Assist with the application/registration of new state SUI and withholding tax accounts for new locations, FEINs, as needed. Assist with ensuring payroll tax setups are accurate (state and local).
- Assist with researching and responding to payroll tax-related inquiries from agencies, employees, and other internal/external parties.
- Maintain knowledge of federal, state, and local tax regulations, including taxation of fringe benefits, by studying existing and new legislation and ensure compliance and advise management on needed actions.
- Review all COINS payroll system tax updates and assist with testing accordingly, and with communicating key changes to the Payroll teams as necessary.
- Also assist Payroll teams as needed, to ensure state and local taxes are set up correctly for employees, particularly for employees who live and work in different states.
- Additionally, this role requires experience with end-to-end payroll processing, and will step in and assist with payroll processes as needed. Also assist in troubleshooting payroll system and payroll tax interfaces issues as they arise.
- The right person for this role will also help improve efficiencies through creative problem-solving and analysis as they assist with process improvements and automations.
- The Lead Payroll Tax Accountant is also responsible for financial recordkeeping which includes the recording of financial transactions as needed, managing accounts and account reconciliations, and ensuring compliance with Generally Accepted Accounting Principles. This position will provide a high level of customer service to both internal departments and external customers.
- Employee Support:
- Respond to internal and external customer inquiries in a timely manner. Address and resolve complex payroll tax related inquiries and concerns from employees.
- Provide guidance on payroll policies and procedures as needed.
- Assist with educating employees on payroll tax related topics and changes.
- Team Leadership:
- Assist with mentoring junior payroll staff.
- Assist with delegating tasks to ensure efficient workflow within the payroll team.
- Assist in the development and implementation of payroll training programs.
- Systems Management:
- Maintain and update payroll system’s tables and employee records as needed.
- Assist in the implementation and maintenance of payroll software. This includes testing, table updates, and overall maintenance and support.
- Collaborate with IT and HR departments to resolve system issues as needed.
Qualifications
- Bachelor’s degree in Accounting or Finance or equivalent experience preferred.
- Minimum of 5 plus years of payroll tax experience with multiple state/local tax jurisdictions and with large volume of employees.
- ADP work experience a plus,
- 5 plus years of payroll experience, full-cycle payroll processing and with multi-state payrolls.
- In-depth understanding of payroll practices, tax regulations, and wage and hour laws.
- FPC or CPP certification is a plus
- Experience and proficiency with large payroll software (e.g., COINS, ADP, Dayforce, UKG or In-House/Non Outsourced processing software.)
- COINS ERP software knowledge is a plus.
- Excellent organizational and time management skills, and the ability to multi-task.
- Strong analytical skills. Attention to detail and accuracy and innovative problem-solving resolution skills.
- Computer proficiency and technical aptitude with intermediate to expert level ability to utilize EXCEL, MS Word, Power Point, Access, etc.
- Good verbal, written and active listening communication skills.
- Strong interpersonal and service-oriented skills in interactions with customers and colleagues. An ability to interface with all levels of employees.
- Strong Team collaboration skills, and the ability to function as a member of a team. Able to transfer knowledge to junior level staff
- Ability to handle sensitive and confidential information with discretion.
- Intermediate accounting knowledge.
- Proven ability to meet tight deadlines and work under pressure
- Experience with external audits.
- Ability to remain flexible in a rapidly changing environment
- Ability to work independently with minimum supervision
- Prior experience with processing Union (Collective Bargaining Agreement) payrolls, and Prevailing Wage and Certified payroll reports is a plus.

Pay: Final pay is determined by the education, experience, knowledge, skills, and abilities of the applicant, internal equity, and alignment with market data. For California, this ranges from $80,000.00-$90,000.00 yearly plus annual incentive, benefits, and retirement program as outlined above.
