Support employees in onboarding, offboarding, engagement events, and initiatives. Focus on HRIS data entry, reporting, and audits to ensure accurate and timely records management.
- Onboarding and Offboarding
- Finalize onboarding for new hires and rehires by coordinating with the Benefits team, inputting Personnel Action (PA) form data into BS&A, and arranging ID photo setup.
- Initiate offboarding by notifying appropriate parties, reassigning direct reports in NEOGOV and BS&A, and coordinating with Tech Services for security deactivation.
- HRIS Management and Updates
- Revise and maintain employee data in NEOGOV, including emergency contact information, address changes, promotions, transfers, and disciplinary records.
- Support employee status changes (e.g., promotions, transfers, terminations) and update credentials accordingly.
- Perform audits and generate reports in NEOGOV, BS&A, and other systems as required.
- Records Management
- Manage personnel records in NEOGOV, BS&A, and physical file storage.
- Administer and audit Form I-9 and E-Verify processes in the NEOGOV module.
- Compliance and Background Checks
- Administer criminal and driving history checks for career candidates.
- Employee Engagement and Events
- Support HR portions of events such as Wellness Fairs, Career Fairs, and DEI initiatives in collaboration with the DEI Manager.
- Cross-functional and Administrative Support
- Provide backup coverage for the front desk, including answering phone calls, responding to walk-ins, handling HR emails, and sorting/distributing mail.
- Act as a backup to the HR Administrative Assistant III, supporting tasks like scheduling meetings, responding to general HR emails, and welcoming visitors.
- Assist with preparation for interviews and HR trainings, including arranging lunches and logistics.
- General HR Support
- Respond to employee inquiries about HR matters or direct them to the appropriate person.
- Assist employees with self-service transactions, such as password resets.
- Perform verbal employment verifications as needed.
- Special Projects
- Assist with departmental projects, including data entry, reporting, and maintaining the compensation database in BS&A and NEOGOV.
- Additional Duties as Assigned
- Education: A college degree, or
- Experience: Two to five years of relevant experience (an equivalent combination of education and experience will be considered).
- Some previous experience in a similar role is desirable.
- Proficient computer skills with a positive approach to utilizing technology.
- Demonstrated ability to handle confidential information with discretion and professionalism.
- Strong organizational and attention-to-detail skills.
- Effective communication and interpersonal abilities to foster collaboration within a team environment.
