Position Overview:
We are seeking a highly motivated, entrepreneurial Practice Manager to lead the launch and growth of a start-up Dental Sleep Medicine (DSM) practice. This is not a traditional office manager role; this position is focused on building, growing, and scaling the practice.
The ideal candidate is outgoing, enthusiastic, thrives in a start-up environment, takes ownership, and is passionate about expanding access to care for patients with sleep apnea through strong physician partnerships and community presence.
Key Responsibilities:
Physician Outreach & Referral Development (Primary Focus)
- Build and maintain strong relationships with sleep physicians, primary care providers, ENTs, pulmonologists, and other referral sources
- Execute a structured and consistent physician outreach strategy (in-person visits, drop-bys, lunch-and-learn presentations, follow-ups)
- Serve as the primary liaison between the practice and referring providers to ensure seamless communication and patient care coordination
- Track referral patterns and implement strategies to increase referral volume and retention
- Position the practice as a trusted partner in the treatment of obstructive sleep apnea
Practice Operations & Leadership
- Oversee day-to-day operations of the DSM practice, ensuring efficiency, compliance, and high-quality patient care
- Develop and implement office systems, workflows, and standard operating procedures Recruit, train, and manage administrative and clinical support staff
- Monitor KPIs, financial performance, and operational metrics to drive growth and profitability
- Drive a culture of accountability, growth, and patient-centered care
Marketing & Business Development
- Create and execute a comprehensive marketing plan focused on brand awareness and patient acquisition
- Coordinate community outreach, educational events, and professional networking opportunities
- Manage digital marketing efforts, including website presence, online reviews, and social media Identify new growth opportunities, partnerships, and service expansions
- Develop and execute a local marketing strategy focused on patient acquisition and brand awareness
Compliance & Administration
- Ensure compliance with HIPAA, OSHA, and other regulatory requirements
- Manage billing processes, insurance coordination, and documentation workflows
- Oversee inventory, vendor relationships, and supply management Patient Experience & Case Acceptance
- Ensure an exceptional patient experience from initial inquiry through treatment completion
- Support patient education regarding sleep apnea and oral appliance therapy
- Optimize scheduling, follow-up, and case acceptance processes
- Remove barriers to care and improve patient conversion rates
Qualifications
- 3 years of experience in dental, medical, or healthcare practice management (DSM or sleep medicine experience preferred)
- Proven success in physician outreach, marketing, or practice growth
- Strong interpersonal and communication skills with the ability to build professional relationships
- Experience in a start-up or growth-focused environment is highly preferred
- Knowledge of dental or medical insurance and billing processes
- Self-starter with strong organizational and problem-solving abilities
- Highly organized, self-directed, and results-oriented
