What are the responsibilities and job description for the Administrative Assistant position at Southern Minnesota Insulation?
This position will support the division’s President/Director of Operations and the Project Managers through clerical and administrative duties.
- Analyze and organize Division operations and procedures, including but not limited to: bookkeeping, preparation of payrolls, invoices, filing, and requisition of supplies.
- Identify, evaluate, and revise Division procedures to improve efficiency of work flow.
- Review project files to ensure completeness, accuracy, and timeliness.
- Prepare submissions of monthly and quarterly state job site hours/earning reports, and maintain and submit required certified payroll reports.
- Coordinate with the President/Division Director of Operations and Project managers to ensure all deadlines are met, including but not limited to, billings, submittal, contractual documents, and warehouse needs.
- Setup and maintain all project files.
- Prepare and distribute various daily, weekly, and/or monthly reports accordingly.
- Monitor past due balances and retainage of the Division, and send out invoices or call customers accordingly.
- Enter, approve, and pay bills as needed
- Other duties as assigned.

Pay: $23.00 - $25.00 per hour
