Position Summary
The Administrative Assistant position performs routine administrative functions such as scheduling reservations at the Westhaven amenities, answering phones, customer service, ordering supplies, managing calendars and software, and other duties assigned.
Essential Functions
- Assist with management of resident database (entering new homeowners/renters/golf members, removing homeowners who have moved out, updating info when needed, etc.).
- Issue FOB’s to new homeowners/renters/golf members.
- Manage private reservations at the Residents’ Club and other amenities that are available for rent.
- Maintain inventory of supplies and order for clubhouse, fitness, pools, and office.
- Fill in at front desk as needed.
- Assist with maintaining schedules and room reservations at Residents’ Club (i.e., fitness classes, other classes, group and club meetings, etc.)
- Perform website updates.
- Vet potential Instructors for classes at Residents’ Club.
- Issue and maintain Facility Agreements for Instructors teaching at Residents' Club.
- Add events, classes, etc. to websites, also creating flyers, printed materials.
- Support and assist with events, programs, activities, etc.
- Run errands when needed.
- Assist with answering phones and responding to resident emails and requests.
- Other duties as assigned.
- Strong working knowledge of Microsoft Office and basic website management.
- Ability to keep sensitive information highly confidential.
- Excellent written and verbal communication skills.
- Strong interpersonal skills, and the ability to deal professionally with clients, vendors, and co-workers on the phone and in person.
- Excellent organizational and time management skills, ability to take initiative, use good judgment, demonstrate a strong sense of urgency and attention to detail, and carry multiple projects through to completion.
- Ability to work independently and collaboratively, prioritize work and ask for further clarification when necessary.
- Ability to work under pressure with tight time constraints, as well as the ability to deal with frequent interruptions, unresolved situations, frequent change, delays, or unexpected events.
- Ability to lift up to 35 lbs.
- Some weekends / holiday weekends and overtime will be required on occasion.
- College Degree Preferred
- Minimum 3 years’ experience in similar administrative role
- Strong working knowledge of Microsoft Office including Excel
