Job Overview
We are seeking a highly organized and proactive Office Administrator, Monday - Thursday. They would oversee daily operations in a small medical office, coding, and ensure the smooth functioning of our office environment. The ideal candidate will be responsible for managing office staff, coordinating administrative tasks, coding, and maintaining effective communication with employees. This role requires strong leadership skills, attention to detail, and the ability to manage multiple priorities in a small office setting.
Responsibilities
- Supervise and support office staff.
- Manage phone etiquette and ensure professional communication with clients and vendors.
- Maintain an organized office space, ensuring all supplies are stocked and equipment is functional.
- Handle vendor management, including negotiating contracts and maintaining relationships with service providers.
- Serve as the front desk point of contact, welcoming visitors and managing inquiries.
- Assist with payroll processing and maintain accurate employee records in collaboration with the Owner.
- Support human resources functions such as onboarding new employees and maintaining compliance with company policies.
- Implement organizational systems to enhance efficiency within the office.
- Understand and supervise billing and coding functions.
Skills
- Proven experience in supervising teams and managing office operations.
- Excellent phone etiquette with strong verbal communication skills.
- Experience in medical coding is a plus.
- Proficient in schedule management and calendar coordination.
- Familiarity with office administration tasks including vendor management and payroll processing.
- Strong organizational skills with an ability to prioritize tasks effectively.
- Experience in human resources functions is a plus but not required.
- Experience in interacting with insurance companies is a plus but not required.
