JOB SUMMARY:
Responsible for the efficient operation of the business and support functions of the company.
This position is responsible for the effective management of working relations among patients
care support staff and the timely and accurate dissemination of both internal and external patient
care documents.
QUALIFICATIONS:
1. Bachelor’s degree in business preferred.
2. Two years of experience in a health care environment such as a hospice agency, a home
health agency, or physician’s office in either a clerical or clinical role.
3. Must have an understanding of the importance of precise documentation in a patient’s
medical record.
4. Demonstrated ability to prioritize tasks and handle pressure and delicate situations.
5. Demonstrated understanding of customer relations, tact and diplomacy in facilitation of
relationships with staff and the public.
6. Demonstrated knowledge of computer usage and word processing.
7. Demonstrated knowledge of medical terminology.
8. Demonstrated ability to perform detailed work in a timely manner with accuracy and
thoroughness.
9. Demonstrated ability to respond well to supervision and to work independently when
appropriate.
10. Demonstrated excellence with both written and verbal communication skills.
RESPONSIBILITIES (including but not limited to):
1. Prepare and maintain master patient list and daily census.
2. Structure and maintain files of all necessary chart forms. Documents are filed in medical
records within (24) twenty-four hours of receipt.

Job Title: Office Manager
Reports to: DON
3. Supervises and provides directions to non-clinical administrative staff in effort to ensure
quality and continuity of services.
4. Accountable for ensuring compliance with all new and current employee documentation
required by Human Resources and regulatory agencies for maintain employment within
the organization including, but not limited to, I9 compliance, professional licensure,
background checks and all other document related to employment.
5. Assist the Administrator and DON to ensure timely referral to admit process.
6. Ensures accurate billing process by reviewing patient charts for compliance/accuracy
with all billing requirements before billing.
7. Provide information to billing department on admissions, discharges and status change.
8. Maintains current knowledge and ensures compliance with all federal, state and local
regulations in relation to billing processes.
9. Assists the Administrator and DON in maintaining required information for audits and
licensure reviews including keeping policy and procedure and personnel records up-to
date.
10. Ensures appropriate orientation is provided for all new staff and HR forms are completed
and sent to the Human Resources department.
11. Monitors, controls, and orders office and medical supplies.
12. Prepares and conducts inventory control as directed and according to policy and
procedure.
13. Send and track returned Patient Satisfaction Surveys and Physicians Satisfaction Surveys.
14. Prepare and send out patient satisfaction survey questionnaires according to policy and
procedures.
15. Track patient visits by comparing visits to schedules daily.
16. Ensures that all timesheets are reviewed and sent to the payroll department in a timely
manner.
17. Abide by all Hospice of Hope medical record and confidentiality policies and procedures.
18. Evaluates and analyzes medical records and data entry by reviewing patient charts for
compliance/accuracy with telephone orders/Plan of Care frequencies ordered and
checking patient information for absent data before submission to DON and QI.
19. Reacts to change productively and performs other job-related tasks and duties as
assigned.
PHYSICAL DEMANDS:
Able to lift, push, and pull light to moderate loads. Moderately heavy physical effort. May
occasionally do heavy lifting, pushing, or pulling.
LICENSES AND CERTIFICATIONS:
1. Current Driver’s License
2. Current Automobile Liability Insurance according to Company Policy & Procedure
