Position Summary:
Provide reception and general office support with a variety of clerical activities and related tasks. The receptionist will be responsible for answering incoming calls, directing calls to the appropriate departments, mail distribution, requisitioning supplies as well as additional clerical duties. Must be able to multi-task, demonstrate proficiency with Microsoft Office
and effectively communicate with all levels of staff and visitors.
Daily/Position Responsibilities:
- Serve visitors by greeting, welcoming, directing and announcing them properly
- Maintain security by following procedures and controlling access to the building
- Provide general administrative and clerical support to various departments including mailing, scanning, faxing and copying
- Maintain both electronic and hard copy filing systems
- Open, sort and distribute incoming correspondence
- Perform data entry and scan documents
- Assist other departments as needed
- Answer calls from customers regarding their inquiries
- Prepare and modify documents including correspondence, reports, drafts, memos and emails
- Assure mail has been posted by 11:00 a.m. daily
- Maintain office supplies for company
- Other duties as assigned
Education/Experience:
- High School Diploma or equivalent.
- Minimum 2 years previous administrative support experience.
Skills/Requirements:
- Experience with switchboard phone system
- Strong organizational skills
- Attention to quality and detail
- Professional written and verbal skills
- Working knowledge of Microsoft Office Word and Excel
- Knowledge of Accounts Receivable a plus
