Job Summary
Southern California TMS Center is seeking a detail-oriented Payment Operations Specialist to support centralized payment operations across 13 locations. The ideal candidate will possess a strong foundation in accounting principles, financial software, and payment systems, with the ability to ensure accuracy, compliance, and efficiency across all payment operations. As a key member of our billing team, you will oversee accounts receivable and payable functions, reconcile accounts, and support the revenue cycle management to facilitate seamless financial workflows.
Hours: Full-Time (40 hours/week)
Start Time (To Be Discussed): 7am / 8am / 8:30am
Location: Pasadena, CA
Key Responsibilities
- Post and reconcile payments from multiple sources, including:
- Insurance payments
- Patient payments
- Electronic remittances (ERA/EFT)
- Deposit and credit card transactions
- Ensure payments are accurately applied to claims and patient accounts.
- Research and resolve unapplied, underapplied, or misapplied payments.
- Assist with payment variance investigations and necessary corrections.
- Reconcile system postings with bank deposits and remittance reports.
- Collaborate with billing and collections teams to resolve payment discrepancies.
- Support resolution of credit balances and processing of refund requests as needed.
- Maintain established posting accuracy and productivity standards.
- Participate in process improvement initiatives to enhance payment workflows and efficiency.
- Support internal audit requests and ad hoc reporting as required.
Required Qualifications
- Minimum of 1–2 years of experience in medical billing, payment posting, or revenue cycle operations.
- Strong attention to detail with proven reconciliation skills.
- Ability to manage high-volume workloads while maintaining accuracy.
- Working knowledge of insurance payment processes and remittance posting.
- Strong communication and collaboration skills.
- Proficiency with billing or practice management systems preferred.
- Intermediate computer skills, including Excel and reporting tools.
Preferred Qualifications
- Experience supporting multi-location healthcare payment operations.
- Familiarity with ERA/EFT processing and complex payment reconciliation.
- Experience in behavioral health, facility billing, or specialty healthcare environments.
