Summary: The Lead Referral Coordinator supports the Referral Manager in overseeing the daily operations of the referral department to ensure efficient, accurate, and timely referral processing. This role serves as a working lead, balancing regular referral duties with leadership responsibilities such as mentoring staff, monitoring workflow, conducting quality checks, and assisting with process improvements. The Lead Referral Coordinator ensures compliance with policies, maintains effective communication between patients, providers, and staff, and promotes a culture of professionalism, accountability, and patient-centered service.
Essential Functions:
· Support the Referral Manager by overseeing daily referral operations and ensuring team adherence to standardized policies, workflows, and performance expectations.
· Serve as a point of contact for Referral Coordinators regarding complex or escalated cases.
· Assist in training, mentoring, and onboarding new team members to ensure consistent understanding of processes and compliance with referral standards.
· Monitor referral queues to ensure timeliness, accuracy, and completion in accordance with established turnaround goals.
· Conduct regular quality checks of referral documentation, identify discrepancies, and ensure corrective actions are taken.
· Support performance improvement by providing constructive feedback and guidance to staff as directed by the Referral Manager.
· Assist in scheduling and facilitating team huddles or training sessions as needed.
· Maintain up-to-date and compliant patient records in accordance with laws, regulations, and company policy.
· Gather, verify, and document insurance information and authorizations required for referral processing.
· Ensure the accurate and complete transmission of patient information to referred specialists.
· Prioritize and coordinate referrals based on urgency, clinical need, and patient preference.
· Track and follow up on pending or delayed referrals to ensure closure within defined timelines.
· Collaborate with providers and medical staff to address barriers and ensure smooth referral transitions.
· Provide timely updates to patients, providers, and specialists regarding referral status, appointments, and required documentation.
· Assist in resolving issues or barriers that delay referral completion.
· Escalate concerns, workflow challenges, or identified trends to the Referral Manager promptly.
· Collaborate with the Referral Manager in process improvement initiatives and implementation of best practices.
· Serve as a liaison between the referral department, clinical teams, and administrative staff to promote coordinated patient care.
· Maintain patient confidentiality in compliance with HIPAA and company standards.
· Demonstrate professionalism in communication, teamwork, and work ethic.
· Meet or exceed daily and weekly productivity and accuracy benchmarks.

Education and Experience:
· High School Diploma or GED required.
· Associate Degree; preferred.
· Medical Assistant Certification preferred.
· Minimum one (3) year’s of experience in medical field; preferred.
· Minimum one (3) year’s of experience in an administrative field or customer service role; preferred.

Pay: Up to $25.00 per hour
