Property Management Assistant Administrative Coordinator
Full-Time | $20/hour
We are an established and growing property management and real estate company seeking a highly organized, dependable and proactive Administrative Coordinator to become an important part of our day-to-day operation.
This is an excellent opportunity for someone who enjoys variety, takes pride in keeping an office organized, and likes being the person others can depend on to make sure things get done.
This is not a high-volume call center or strictly clerical position. You will work closely with management and have the opportunity to learn multiple areas of property management. We are looking for someone who can take ownership of responsibilities, follow tasks through to completion, and grow with our company.
What You'll Do
Your responsibilities will include:
- Manage and organize physical and digital records, files and documents
- Handle data entry and maintain accurate property and tenant records
- Answer phones and communicate professionally with tenants, applicants, vendors and other contacts
- Coordinate maintenance requests, vendor appointments, property showings and scheduling
- Track open items and follow up to ensure tasks are completed
- Assist with invoices, receipts and property-related paperwork
- Prepare spreadsheets, reports, summaries and updates for management
- Assist with tenant and applicant documentation
- Provide administrative support for property management and real estate activities
- Help maintain an organized, efficient and professional office
- Assist management with special projects and time-sensitive matters
- Provide office coverage when the Property Manager is away from the office
- Identify issues, follow up on outstanding matters and help find practical solutions
Because we are a small office, priorities can occasionally change throughout the day. We are looking for someone who is flexible and willing to pitch in when needed, while taking ownership of their primary responsibilities.

Previous administrative or office experience is strongly preferred. Property management, real estate, leasing, bookkeeping or similar experience is a plus.
