Southern Backflow Services is a growing backflow testing and compliance company serving Mississippi, Louisiana, Alabama, Tennessee, and Georgia. We are seeking a detail-oriented, organized, and dependable Documentation Specialist to join our office team. This position plays a key role in ensuring paperwork is accurate, completed on time, and submitted to the appropriate parties.
Position Summary:
The Documentation Specialist is responsible for preparing, processing, and managing documentation throughout the lifecycle of each work order. This role requires excellent organizational skills, attention to detail, and the ability to prioritize multiple tasks in a fast-paced office environment.
Essential Responsibilities:
● Process and review work order documentation for accuracy and completeness.
● Create customer invoices using company software.
● Prepare and generate customer quotes.
● Submit finalized paperwork to contract companies and customers.
● Submit passing inspection reports to the appropriate Authority Having Jurisdiction (AHJ).
● Ensure all documentation is completed and submitted within required deadlines.
● Maintain organized digital and physical job files.
● Communicate with office staff regarding missing or incomplete documentation.
● Assist with general office tasks
● Perform other duties assigned to support daily business operations.
Qualifications:
● Strong attention to detail and organizational skills.
● Excellent written and verbal communication skills.
● Ability to manage multiple tasks and meet deadlines.
● Ability to learn company software and processes quickly.
● Self-motivated with a positive attitude and strong work ethic.
● Previous documentation or office experience is preferred but not required.
● Previous experience with Apple software is preferred but not required.
