JOB SUMMARY  

As an Administrative Assistant, you have an essential role in keeping the Department of Social Work running smoothly. You provide administrative support to the Chair and the Administrative Coordinator. Processing paperwork (which may include budgets, confidential student records, and support requests) and assisting in coordinating events are core aspects of the role. Must have exceptional organizational, communication, and computer skills as well as the ability to connect and work well with others in order to excel in this position.

 

ORGANIZATIONAL RELATIONSHIPS 

Reports to: Chair of Social Work and Administrative Coordinator to the Dean

Supervisory Responsibility: N/A

Indirect Supervisory Responsibility: N/A

 

ESSENTIAL DUTIES - May include, but is not limited to, the following: 

 

  • Provide administrative support to faculty, staff, and students.
  • Coordinate and schedule meetings, ensuring efficient time management.
  • Manage student and faculty inquiries.
  • Assist in maintaining student records, databases, and other academic documentation.
  • Assist in event planning, including intensives and residencies.
  • Handle all correspondence.
  • Perform other duties as assigned to support the overall efficiency of the department

 

ADDITIONAL/NON-ESSENTIAL DUTIES 

All remaining duties are considered "nonessential" within the context of the ADA, which means that the function could be reassigned to another employee in order to allow a disabled individual to hold the position.  Alternatively, the manager could try to provide a reasonable accommodation so that the disabled individual could perform the function.

Qualifications:

EDUCATION   

Required Education:

High School/GED 

 

Preferred Education:

Some college coursework or bachelor’s degree preferred
 

LICENSES/CERTIFICATIONS

N/A

 

EXPERIENCE 

Required:

A minimum of one year administrative/clerical experience

 

Preferred:

A minimum of one year administrative/clerical experience in higher education is preferred

 

KNOWLEDGE, SKILLS, AND ABILITIES

Required:

  • Outstanding Christian character.
  • Office productivity software skills, including Microsoft Office/Google Suite.
  • Strong organizational skills, ability to multi multitask and prioritize effectively.
  • Excellent communication and interpersonal skills.
  • Detail-oriented mindset with a commitment to accuracy.
  • Ability to write and communicate effectively in various environments.
  • Maintain confidentiality in all aspects of student and institutional information.

 

Preferred:

Experience working with multiple departments.
Experience in event planning, managing calendars, taking meeting minutes.

 

WORK ENVIRONMENT

  • This position is considered non-essential for the purposes of Emergency Response.

 

Physical Requirements: 

Must be able to sit and use a computer for extended periods of time.  Must be able to push, pull, and lift office equipment and small boxes up to 10 lbs.

Schedule:

Monday - Friday, 8 am to 4:30 pm (or as scheduled by supervisor) for 40 hrs per week
Will require some weekends/evening hours, as needed.

 

TRAINING

All new hires and employees transferring into a new position will have a 90-day probationary period within which to learn the functions of the job and to be evaluated. Following the probationary period, the employee can transition to regular status, have the probationary period extended in order to receive more training, or have employment terminated. SAFETY  

  • SEU promotes a safe working environment. Employees are responsible for completing assigned tasks safely and efficiently, and supervisors are responsible for creating and maintaining a safe work environment. 
  • Employees must report any unsafe work conditions or practices, as well as any near-miss incidents, to their supervisor and Risk Management. 
  • Work-related injuries must be immediately reported to Security and Human Resources. When life or limb are at risk, please dial 911. Supervisors and employees should ensure that injury/accident reports are submitted to the Office of Human Resources within 24 hours of the incident. 
  • Emergency Employees report for or must remain at work in emergency situations.  Dismissal or closure announcements do not apply to this position unless instructed otherwise by your direct supervisor or a member of the Leadership Team.  

 

SCREENING

All full-time positions at SEU are deemed security-sensitive and require background checks. Employees required to drive their own personal vehicle, a rental car or an SEU vehicle in performance of their duties must pass an MVR records check and meet the requirements of the University’s insurance carrier in order to meet the requirements of the position.
