Job Overview

The Program & Operations Coordinator is a key member of the SEMYO team who helps ensure that rehearsals, performances, educational programs, and special events run smoothly throughout the year. This position combines program coordination, communications, student engagement, event management, and management of the SEMYO music library to support the growth of our 260 talented student musician members in grades 4-12 from throughout Southeastern Minnesota.

The successful candidate will be highly organized, self-motivated, and committed to creating a welcoming and inclusive environment for students, families, volunteers, and staff. This position requires someone who enjoys taking ownership of projects, solving problems independently, and serving as a key operational leader within a small but growing nonprofit organization.

This is a hybrid position with 1-2 days of work each week in the SEMYO office, on-site support at Saturday rehearsals held at Century High School and Dakota Middle School in Rochester, and flexibility to work remotely at other times.

While experience in music education or performance is valuable, we welcome applicants from a variety of professional backgrounds who are passionate about youth development and education, the performing arts, community engagement, and nonprofit service.

Responsibilities

Program Coordination

  • Help execute a highly organized music education program that inspires excellence while fostering a welcoming and inclusive environment.
  • Coordinate rehearsals, performances, outreach tours, student engagement activities, and special events.
  • Serve as the primary on-site coordinator and point of contact during weekly rehearsals and major SEMYO events.
  • Support teaching artists, guest musicians, volunteers, and student leaders to ensure programs run smoothly.
  • Coordinate logistics including facilities, percussion instruments, transportation, and event setup.
  • Organize key annual programs including the Summer Music Program and Grade 5-8 Honor Band.
  • Assist with student auditions, ensemble placements, mentoring initiatives, and chamber music opportunities.
  • Maintain positive relationships with rehearsal venues, community partners, and participating schools.

Communication & Community Engagement

  • Send weekly announcements and program information to students and families using Mailchimp and other communication platforms.
  • Respond promptly and professionally to questions from parents and students.
  • Communicate regularly with staff, teaching artists, volunteers, students, and families to ensure all programs run efficiently and deadlines are met.
  • Provide clear instructions and information during rehearsals, performances, and events.
  • Help cultivate a positive, welcoming, and inclusive experience for all SEMYO participants and families.

Music Library Management

  • Maintain SEMYO's physical and digital music library.
  • Prepare, print, scan, distribute, and organize music for students, conductors, coaches, and guest musicians.
  • Coordinate music rentals, licensing, shipping, and library records.
  • Work with conductors to ensure repertoire is selected in a timely manner and music is prepared before the start of rehearsals and events.

Qualifications and Skills

  • Bachelor's degree preferred; equivalent education and relevant professional experience will be considered.
  • Experience in one or more of the following areas: music education, music performance, arts administration, youth development, nonprofit management, event coordination, community engagement, or related fields.
  • Excellent organizational, communication, and writing skills.
  • Ability to work independently, manage multiple priorities, and take ownership of projects.
  • Demonstrated ability to build positive relationships with students, families, staff, volunteers, and community partners.
  • Comfort working with youth in grades 4-12.
  • Ability to assist with rehearsal and concert setup, including moving chairs, music stands, percussion equipment, and other program materials.
  • Experience with Google Workspace and related technology platforms.
  • Availability to work Saturdays during the school year and occasional weekend events.
  • Passion for helping young people succeed through music and the arts.

Southeastern Minnesota Youth Orchestras (SEMYO) is a non-profit organization based in Rochester. SEMYO realizes its mission through a rigorous music education program that includes five youth orchestras, summer music program, annual honor band event, chamber music program, and afterschool program at Dakota Middle School.

SEMYO serves more than 260 students in grades 4-12 from throughout southeastern Minnesota and reaches hundreds of additional youth through outreach and community engagement programs. Through tuition assistance, educational partnerships, and performance opportunities, SEMYO works to increase access to high-quality music education while fostering a welcoming and supportive environment where young people develop confidence, leadership skills, and a life-long passion for music.
