We are looking for an experienced Construction Billing Specialist to join our team. The ideal candidate has strong skills in AIA Pay Applications, construction billing, and accounts receivable. Experience in our specific industry is preferred but not required. This position also processes certified payrolls, supports project managers with administrative tasks, and helps ensure timely collection of outstanding invoices.
Key Responsibilities
- Prepare, review, and submit AIA Pay Applications for multiple projects.
- Run weekly billing reports and identify projects that are ready to bill.
- Process certified payrolls accurately and on time.
- Track billing status, retainage, change orders, and contract values.
- Follow up on outstanding accounts receivable and assist with collections.
- Support project managers with administrative tasks, documentation, and project setup.
- Maintain organized digital and paper records for billing and payroll compliance.
- Communicate professionally with clients, vendors, and internal teams to resolve billing questions.
Qualifications
Required:
- Strong experience with AIA Pay Applications (critical).
- 3 years of construction billing or construction accounting experience.
- Knowledge of accounts receivable processes.
- High attention to detail and strong organizational skills.
- Proficiency with construction or accounting software (e.g., QuickBooks, Sage, Viewpoint, etc.).
- Strong verbal and written communication skills.
Preferred
- Experience processing certified payrolls.
- Background in construction, utility, or related fields.
- Familiarity with lien waivers, insurance tracking, and contract documents.
