Position Summary Information

General Description of Position
Under the direct supervision of the Administrative Assistant II and the general supervision of the Division Dean and Associate Dean, this position provides administrative and clerical support to the Division Dean, Associate Dean, and faculty. This position may be assigned to collaborate with staff from the other division or assigned to work at a different work site to support the needs of the College.

Duties for this full-time, regular position include operating a computer using Microsoft Office, Colleague, Revel point-of-sale system, database software, calculator, copy/fax machine, telephone; preparing reports, correspondence, and purchase orders; filing; maintaining division records; processing and distributing mail; greeting and serving the needs of visitors, staff, and students; and maintaining office workflow.

Essential Functions
Perform Reception Duties
  • Professionally greet and direct and assist students, staff, and visitors, operate telephone equipment, and direct incoming phone calls to the appropriate person.
  • Supply general information to callers, distribute messages, and serve as a campus PBX relief operator.

Prepare and Maintain Division Records
  • Prepare, process, and record purchase requests, expense vouchers, submit maintenance work orders, leave requests, personnel forms, new student information, statistical records, inventory lists, budgetary forms, general files, computer problem reports, equipment repair records, adjunct faculty payment agreements, and those records unique to the Division.
Operate basic office equipment and software
  • Operate personal computer, telephone equipment with voicemail, copy/fax machine, printer, shredder, and a calculator.
  • Maintain Office Supplies and Equipment
  • Inventory, order, receive, and distribute office supplies as needed. Request service on office and instructional equipment as needed.
Provide support
  • Provide support for both full-time staff and faculty and adjunct faculty. Maintain teamwork between colleagues in order to ensure continuous and efficient flow of work within the College.
  • Maintain organization, expediency, quality control, and workflow for assigned duties. Demonstrate resourcefulness and creativity in performing assigned duties.
  • Deliver and pickup copies from the copy center.
  • Pickup/drop-off documents at other offices on campus.
  • Process and distribute mail as assigned
  • Prepare and deliver division mail to the central mailroom and return incoming mail to the division; sort and distribute it as needed.
Communicate with Division and College Personnel
  • Prepare, copy, file, and distribute materials in a printed form; namely, letters, memos, syllabi, curriculum materials, minutes, proposals, exams, evaluations, reports, etc.
  • Communicate with supervisor in a timely, factual, clear, concise, and meaningful manner. Confidentiality is required.
Participate in Division and College Meetings and Committees
  • Attend scheduled Division/College staff meetings and serve on committees.
  • Assist in the orientation and training of assigned part-time office staff.

Marginal Functions
  • Work collaboratively with faculty and staff on the functioning and orientation of the Business Division office for full and part-time faculty.
  • Operate multi-media cart equipment and other office equipment as needed.
  • Prepare bulk mailings.
  • Transport supply items and mail using a wheeled cart if needed.
  • Assist with Division and campus public relations activities such as open house, advisory meetings, and workshops.
  • Produce specialized printed materials.
  • Perform other related duties within the division/program as assigned.
  • May be required to perform associated duties, functions, or assignments in other divisions/programs/areas as required.
  • Perform other College functions and duties as assigned.
  • Must be able to work varied days, hours, shifts, locations, and campuses as required. Work schedules (hours/days/work location) are scheduled by Southeast Community College based on the needs of the College. Work hours, shifts, days, and work locations may vary depending on the needs of Southeast Community College and are subject to modification. Emergency or scheduled special activities may require hours outside of the regular workweek.

Required Knowledge, Skills and Abilities
  • Demonstrate knowledge of and experience in English grammar usage, business letter production, proofreading, filing, and record-keeping systems, as well as the skill and ability to perform the above functions consistently and accurately while meeting multiple demands in a timely fashion.
  • Demonstrate knowledge and experience in telephone use and etiquette.
  • Work and communicate with a diverse group of students, staff, and the public using skills and abilities in business communications and etiquette. Maintain a continuous, pleasant personality and congenial disposition in all situations.
  • Demonstrate knowledge of and experience in operating a personal computer and performing word processing.
  • Knowledge of policies and procedures used in an educational institution and the ability to work as a productive member of a Division team using the established practices, procedures, and policies of the College.
  • Ability to perform basic math functions and ability to utilize basic accounting practices and office procedures, including Excel spreadsheets.
  • Coordinate the processing of print requests and duplication of materials between the Print Shop and the Business Division.
  • Ability to operate a personal computer using a Windows operating system and Microsoft Office Products, including Word, Excel, and PowerPoint.
  • Must be able to multitask and complete jobs/tasks in a timely fashion.
  • Maintain professional and appropriate working relationships with colleagues, students, and visitors.
  • Ability to communicate effectively in writing, in person, and on the phone.
  • Ability to lift and carry up to fifty (50) pounds for short distances and move tables, chairs, and media equipment when necessary.
  • The individual must possess the above skills and abilities or be able to explain and demonstrate that the individual can perform the essential functions of the job, with or without reasonable accommodation, using some other combination of skills and abilities.

Minimum Qualifications
  • High school graduate or GED.
  • Two (2) years of administrative assistant/clerical experience or one (1) year of office experience plus one (1) year of related training.

Desired Qualifications
  • AAS degree in a post-secondary administrative assistant/office education program.
  • Proficient in skills with Microsoft Access, Excel, Outlook, and Word.
  • Experience with Survey Monkey or other marketing software.
  • Experience with Colleague or other student services software used within an educational system.
  • Experience with Webinar software such as GoToMeeting, Webex, Teams, Zoom, or similar.

Salary
$17.32 per hour

Benefits
SCC BEN Dollars – Eligible Employees: Full-time status. Regular employees with an FTE of 0.75 or greater will be eligible for SCC Ben Dollars. All employees will be required to elect a health insurance option. If the cost of insurance coverage selected by an employee exceeds the SCC Ben Dollars available, all additional costs will be withheld from the employee’s paycheck. Any SCC Ben Dollars that the employee does not elect to use for the purchase of dependent health and dental insurance will be paid to the employee in cash at $0.93 per $1.00 benefit dollar. All amounts paid are subject to withholding for income and employment taxes, but not subject to the College’s contribution toward the Retirement Savings Plan – Group Retirement Account (GRA).

Schedule
Normal working hours for this full-time regular position are scheduled between 7:30 a.m.and 5:00 p.m., Monday through Friday, requiring a minimum of a 40-hour work week, based on a 260-day work calendar. Scheduled special activities, emergencies, or temporary schedule changes may require hours outside of the regular workday or workweek.
