Responsibilities
- Manage front desk operations, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette
- Handle data entry tasks accurately using productivity software such as Microsoft Office, Google Workspace, and QuickBooks for bookkeeping and financial records
- Coordinate calendar management and schedule appointments for team members or executives, ensuring efficient time management
- Maintain organized filing systems, including digital documents and physical records, with meticulous attention to detail and proofreading skills
- Provide excellent customer support by addressing inquiries promptly and assisting with clerical tasks such as copying, scanning, and mailing documents
- Support office management activities by overseeing supply inventory, managing vendor communications, and ensuring a clean, organized workspace
- Assist with personal assistant duties as needed, including travel arrangements or special project support
Requirements
- Proven experience in office management or administrative roles with strong organizational skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and familiarity with productivity software
- Experience with QuickBooks or similar bookkeeping software is highly desirable
- Excellent computer literacy and technical proficiency in handling various office equipment and software applications
- Strong typing skills with high accuracy; ability to perform data entry efficiently
- Bilingual abilities are a plus to serve diverse client needs effectively
- Previous experience as a medical or dental receptionist or in customer service roles is advantageous
- Demonstrated professionalism with excellent phone etiquette and customer support skills
- Ability to multitask effectively while managing time efficiently in a fast-paced environment
